ENWW 1-1 1 Getting started Thank you for buying the prin te r. This guide provides det ails about how to set up your computer, how to perform simple printer tasks, and how to resolve p rint er problems.
1-2 ENWW Learning about printer configurations This printe r is a four-co lor Inkjet printer that prints up t o 23 pages p er minute ( ppm) in monochrome (b lack and whit e) and 6 ppm in color in Draft mode. The laser-quality spee d is 4.5 ppm for black text and 3 ppm for mixed text color.

1-4 ENWW Printing supplies area 1 Printhead latch. The printh ead latch provides access fo r installing or removing printh eads from their color-code d slots. 2 Printheads. Each printhead must be placed in its color-code d slot. 3 Ink cartridges. Each ink cartridge must be pl aced in its color-coded slot.

1-6 ENWW Connecting the printer Your printer support s local printing and network printin g. For local printing, you can con nect the printer using a USB cable , or a parallel cable if you have a parallel connect or installed. (USB cables or parallel cables ar e sold separately.
ENWW 1-7 It is recommen ded that you d o a softwar e-first installation. See “Completing a softw are-firs t installation (recomm ended)” . Only d o a hardwa re-first in stallati on if yo u already co nnected t he cable and start ed the software. See “Completing a hardwa re-first installa tion” .
1-8 ENWW • For parallel connection: Click P arallel Cable and use th e drop-down m enu to select the parallel port to which t he print er is connect ed (usually LPTs) . If the installati on prog ram detects that the printe r is already connected t o the computer using a pa rallel cable, you can install the printer using the same port.
ENWW 1-9 Sharing the printer on a loca lly shared network (Windows) In a locally shared networ k, the printer is connec ted directly to t he USB or parallel connector of a selected c omputer (k nown as the s erver) and is shared by oth er computer s (clients).

1-12 ENWW Connecting to a network Your printer can be shared in a netw ork envir on ment by co nne cting it dir ectly t o a networ k via an optional HP Jetdirect print server.
ENWW 1-13 3 Connect a network cable bet wee n the print server and the net w ork. 4 Press the T EST button on the pr int server. T he printer p rints a conf iguration pa ge for the print server. Keep this page be cause you might need the infor mation on it.
1-14 ENWW Installing the software for a network printe r on a Windows client Once you have connect ed the printer to the network and installed t he printer driver on th e network c omputer actin g as the serve r, you can sh are the pr inter.
ENWW 1-15 To finish a network installa tion for Mac OS X or later 1 Open the Print Center, which is locat ed in the Applicatio nsUtilities folder. 2 Click Add . 3 Do one of the following step s. • If you are u sing an AppleT alk network, on the pop-up menu, select AppleTal k .
1-16 ENWW Uninstalling software for Macintosh (all versions) 1 Restart the computer . Note If you do not r estart the compu ter before you u ninstall the softwar e, some files are not removed from your computer when you run th e Uninstall opt ion. 2 Insert the Starter CD into the CD-R OM drive.
ENWW 1-17 Making copies of the software The Starter CD contains a utility th at lets you copy the printer so ftware on to disks, or to create custom installations, which is a task usually pe rformed by system administrat or s. When you run the Installer, select Customization Utility to copy disks.

ENWW 2-1 2 Using the printer In this section you will learn how to use the prin ter driver to change printer settings and to perform basic printer tasks. Yo u will also learn about the special media that y ou can use with the printer and how t o print on that medi a.
2-2 ENWW Understanding specifications for supported media This section provides informat ion regarding the sizes, types, and weight s of media that the printer supp orts. It also pro vides information reg arding the capa city of each tray and th e envelope slot.
ENWW 2-3 Understanding supported media types and weights This table pro vides information r egarding the ty pes a nd weights of me dia that each pa per path can accept and the maximum capacity th at each path can hold. Tray Type Weight Capacity Tray 1 Paper 16 to 24 lb (60 to 90 g/m 2 ) Up to 150 sheets or 0.
2-4 ENWW Setting minimum margins The docume nt margins must match (o r exceed) these minimu m margin set tings in portra it orientation. The illustration belo w shows which side of the paper and envelope corresponds to each margin. Note When you are using the aut o-duplex unit, the minimum top and bott om margin must match or exceed 0.
ENWW 2-5 Loading media This section contains inst ructions for loading media int o Tray 1 or Tray 2. To load a single card or envelope in th e envelope slot, see “Printing on env elopes and cards” . To load Tray 1 or Tray 2 1 Pull the tray out of the print er.
2-6 ENWW 4 Adjust the width and lengt h guides to the size marking for th e paper you are load ing. Then, insert the pa pe r . 5 If you are lo ading Tray 1, reattach the output tray. 6 Insert the tray ba ck int o th e pr inte r . CA UTION If you have loaded legal-size or longer pa pe r, keep the front of the tray lowered.
ENWW 2-7 7 Pull out the paper exte ns ion on th e ou tp ut tray . 8 Select the appropriat e media type option in you r application or printer driver . By default, the print er draws paper fr om Tray 2, if it is installed. If Tray 2 is empty, the printer draws paper from Tr ay 1 unless you have selected th e “lock” featur e in the Toolbox.
2-8 ENWW Setting the tray lock This feature is only available if Tray 2 is installed in your printer and you have a computer that is running Windows. If th e printer is on a network and you set tray lock, you will be setting it for all users of the printe r , inclu din g M ac OS us er s.
ENWW 2-9 Understanding default tray behavior for the Mac OS For the Mac OS, Tray 2 is always the default tray except under these circum st ances: z You select a size or type tha t is not supp orted b y Tray 2. The printer automatically select s Tray 1.
2-10 ENWW Changing printer settings The printer driver st ores the default prin t settings for mo st applications. You ne ed to change these settin gs when you print on media of d ifferen t sizes or t.
ENWW 2-11 To set the default media type Note Use this pro cedure to set the defaul t media type to Automatic. 1 Gain access to the defau lt printer settin gs as describe d above. 2 On the Pa p e r or Pap er/Quality tab, select A utomatic in the Ty p e i s box and click OK .

Canceling a print job You can cancel a print job in these ways: z Press the (cancel button) on th e printer .
ENWW 2-13 Performing automatic duplexing When printing is comple te on one side of th e paper, the prin ter holds the paper and pauses while the ink dries. On ce the ink is dry, the paper is p ulled back into the printer and t he second side of the paper is printe d.
2-14 ENWW Performing manual duplexing If you want, you can duplex manu ally. Leave the auto-duplex un it in place. You will choose Manual duplexing in the pri nter driver. To perform manual duplexing (Windows) 1 Load the appro priate paper in Tray 1 or Tray 2.
ENWW 2-15 To perform manual duplexing (Mac OS X) 1 Load the appro pria te paper in Tray 1 or Tray 2. Be sure to load the paper with the print side up. 2 On the File menu, click Print . 3 On the T wo Sided Printing pane l, select the Print Both Sides check box, t he binding orientation you wa nt (sele ct th e de sir ed icon ), an d selec t Manual .
2-16 ENWW Printing on special media This section provides inform ation about how to print on media such as enve lopes, postcards, and transparen cie s. Printing on envelopes and cards You can print envelo pes from the envelope slot or Tray 1. You can pr int cards fro m Tray 1.
ENWW 2-17 To print envelopes from t he envelope slot (Mac OS) 1 On the File menu, click Pag e S e t u p . 2 In the Pa g e S i z e pull-down menu, select the envelope size. 3 Change any other sett ings and click OK . 4 On the File menu, click Print a nd click OK .
2-18 ENWW 6 In the Ty p e pull- down menu, s elect the spec ific type of envelope or c ard you are using (such as HP Glossy Greeting Card Paper). 7 Change any other sett in gs if necessary, then click OK. Printing on transparencies You can print transpa rencies from Tray 1.
ENWW 2-19 To print transparencies (Mac OS X) 1 On the File menu, click Pag e S e t u p . 2 In the Pa p e r S i z e pull-down menu, select size, change any other settings, and click OK . 3 On the File menu, click Print . 4 On the Paper T ype/Quality panel, se lec t the Pa p e r tab.
2-20 ENWW To print custom-size m edia (Mac OS 8.6 to 9. x ) 1 On the File menu, click Pag e S e t u p . 2 In the Pa g e S i z e pull-down menu, click Edit Custom P aper Sizes . 3 In the Name box, type a name for this cust om page size. 4 In the Width and Height boxes, type the dim e ns ion s an d click Add .
ENWW 3-1 3 Using diagnostic tools HP provides several source s of help for you when yo u need information abo ut the printer or when you need help solving a prin ter problem. Using the Toolbox The Toolbox, wh ich is available only to Wind ows users, provides status and mainte nance information about your printer.
3-2 ENWW Information tab The Inf ormation tab lets you registe r the printer, check fo r a ne w printer driver, view printe r hardware and printh ead health infor mation, and gain access t o an online ink usage page for your printer. It also gives you access to help information abou t using the printer , troubleshooting, and contacting HP.
ENWW 3-3 Using hp instant support hp instant supp ort is a Web-ba sed tool that provides you with pr oduct-specific services, troubleshooting t ips, and information abo ut your printer's ink and media usage (using myPrintMileage).
3-4 ENWW Using myPrintMileage myPrintMileage keeps t rack of your printer u sage inf ormation t o help you p lan the purchase of consumable s. It co ns ists of two pa rts : z myPrintMileage website. z myPrintMileage Agent. (This is a utility installed on your com puter with the Toolbox.
ENWW 3-5 Using the HP Inkjet Utility For Mac OS 8.6, 9. x and OS X, the HP Inkjet Utility contains tools to ca librate the printer, clean the printheads, pr int a test page, pr int a configuration pag e for the printe r, set tray lock, and find website suppor t info r ma tio n.
3-6 ENWW Using HP Web Jetadmin HP Web Jetadmin is a Web-based system administ ration tool tha t allo ws remote installati on and management of networked peripherals fr om a Web browser. It enables networ k administrato rs to config ure network p rinters, ma nage printer features, an d monitor prin ter status, including levels for printer supplies.
ENWW 4-1 4 Maintaining and troubleshooting This section provides inform ation about maintaini ng the printer and troubleshooting common printer problems, such as pa per jams and poor quality pr inting. z If you know you need to replace an ink cartridge or prin thead, o r clean the printhead s, see “Maintaining ink car tridges and printheads” .
4-2 ENWW To replace an ink cartridge 1 Turn the print er power on, an d then lift the printing supplies cover. 2 Remove the ink cartridge that requires replacemen t by grasp ing it betwee n your thumb and forefinger an d pulling it firmly toward you. 3 Insert the new ink cartridge in to its own color-coded slot.
ENWW 4-3 Checking the printhead s If the Too lbox is installed on a compute r running W indows, you c an check the health of the printheads. Repla ce the printhea ds when print qualit y degrades. You can also ch eck the quality by printin g a printer con figuration page .
4-4 ENWW To perform a level 1 printhe ad cleaning at the control panel 1 Press and hold down the (power button). 2 While holding down the (power button), press the (cancel butt on) twice. 3 Release the (power button). The printe r be gins the printhead clea ning process.
ENWW 4-5 Cleaning the printhead contac ts If lines or dots are still missing from printed text or graphi cs after you have cleaned the printheads, th e printhead conta cts might be dirt y. CA UTION HP recommends that you cle an the printh ead contacts onl y after you have cleaned the printheads.
4-6 ENWW 4 Lift up the hand le of the printhead an d use it to pull the print head straight up and out of its slot. 5 Using a soft, dry, lint-free cloth, carefully remove any ink from the contact pads on the printhead and insid e the printhead slot in th e printer.
ENWW 4-7 Aligning the printheads Whenever you replace a pr inthe ad, t he prin te r aut omatically alig ns th e pr inthe ads f or th e be st possible quality.
4-8 ENWW Replacing the printheads You do not have to rep l ace all four printheads wh en one needs to be repla ced. Only replace the color of printhe ad indicated. You can check the status of the prin theads from the Toolb ox. You can also check the printer control panel to see if a print head needs to be replaced, as shown here.
ENWW 4-9 4 Lift up the hand le of the printhead an d use it to pull the print head straight up and out of its slot. 5 Install the ne w printhead in the color-coded slot that mat ches the color o f the printh ead. 6 Press down firmly on the print head to ensure proper cont act after installation.
4-10 ENWW 8 Wait while the printer initializ es the printheads. After initializat ion, two alignment pages print. Calibrating color The printer autom atically calibrate s color when you change a print head. Calibrate color manually, as described here, when you are not satisfie d with the appearance of the colors.
ENWW 4-11 Clearing jams If the print media is jamm ed in the prin ter, follow these instructio ns to clear the jam. To clear a jam Note Information about Tray 2 is only applicable if you have an HP Business Inkjet 1100dtn o r you purchased this accessor y.
4-12 ENWW 3 Lift the outp ut tray and check for a jam in Tra y 1. a If the media is jammed in Tray 1, pull out Tray 1. (Otherwise, go t o step 4.) b Pull the paper towards you as shown in th e diagram. c Lower the output tray and repositio n Tray 1. 4 If you have not yet found the ja m and have Tray 2 installed, pull out Tray 2.
ENWW 4-13 Starting troubleshooting Start in this sectio n if you are having a problem with th e printer. z If you have a jam, see “C learing jams” .
4-14 ENWW Printing a configuration page When you are experie ncing a problem wit h your printer and you ca nnot disco ver the sour ce of the problem, you can print a pr inter configu ra tion page that provides mo re information ab out the problem. You can print t he printer configura tion page from the cont rol panel.
ENWW 4-15 Resolving printer problems This section provide so lut ions to common pr oblems that involve th e operation of th e printer. Printer shuts down unexpectedly Check the power z Make sure the power cor d is connected firmly to th e printer and to a working o utlet, and that the printe r is turned on.
4-16 ENWW Check the printer se tup z Check that the ink cart ridges, and printhea ds are loaded correctly. Make sure that all the tape has been remo ved from the prin theads. z Check that the top cover and printing supplies cover ar e closed. z Make sure media is loaded correctly in the tray an d that the media is not jamme d in the printer.
ENWW 4-17 Resolving printing problems This section provides solutions to common printing problems. A blank page printed Check that the tape is removed from the printhea ds z Each new printhead is packaged with protective plasti c film covering the ink nozzles.
4-18 ENWW Placement of the text or graphics is wrong Check the page-ori entation setti n g z The page orienta tion selected might not be correct for the document you are pr inting. Make sure the media size and page orientation select ed in the application match t he settings in the Print Settings dialog box.
ENWW 4-19 Poor print quality First try these general ste ps when you see poor print quality. Check the printhea ds and ink cartridges z Replace any clogged or wor n printheads or low or empty in k cartridges (See “Maintaining ink car tridges and printheads” .
4-20 ENWW Ink is smearing Check the print mode z When you print document s that use a lot of ink, you must allow the do cument more time t o dry before handling it. Th is is especially true for transp ar encies. Select Best mode in the printer driver, and increase the ink drying tim e from Advanced Featu res in the printer driver.
ENWW 4-21 Wrong colors are printing Check the printer dri ver settings z The Print In Grayscale check box might be selected. From your application, open the Printer Properties dialog box. Click the Color tab and make sure that Print in Graysca le is not selected.
4-22 ENWW Resolving paper-feed problems This section provides solutions to common paper-feed problems. For information on resolving jams, see “Clearing jams” . Tray cannot be inserted z With the tray remove d f r om th e p rin ter, t u rn t he pr inter of f a nd th en on a gain .
ENWW 4-23 Multiple pages are being picked up z Make sure tha t the stack of paper has be en aligned with the right and fron t guides. z Make sure that the t ray has not been overloa ded with paper . z When you load paper , avoid fanning t he stack. Fanning pap er can cause static electricity to build up and intensif y multiple-pick problems.
4-24 ENWW Software installation issues z Make sure your comput er is running one of these ope rating systems: Windows 98, 2000, NT 4.0, Me, or XP. If you are using a Macintosh, it must be running Mac OS 8.6 or later. z Make sure the comput er meets at least the minim um syst em requirements list ed here.
ENWW 5-1 5 Printer lights reference The printer LEDs (or ligh ts) indicate printer stat us and are useful for diagn osing printing problems. This chapter provides a list of LED st atus ligh t combinations, what they ind icate, and how to solve the pr ob lem.
5-2 ENWW The Power light is on and the Resume light blinks. The printer is ou t of pa pe r. z Load paper and then press the (resume button). The printer is in manual duplex mode. It is waiting for the ink to dry so the pages can be flipped over and reloaded.
ENWW 5-3 The Ink Cartridge l ight, a color indicator light, and the Resume light are on. One or more of the ink cartridges needs attention. z Reinstall the ink cartridges and try to print. z If the error persists, re place the ink cartridge or cartridges indi cated.
5-4 ENWW alternates with The Printhead lig ht and a color indicator light blink alternately with an Ink Cartridge light and a color indicator li ght. The Resume light is on. The printer detects a faulty ink cartridge and a faulty printhead. z Replace the appli cable printheads and ink cartridges.
