Setup 1 -6 Y ou Now have learned what f eatures each b utton cover s. Now , let’ s begin setting up your inf ormation such as fax name/number and date/time. There are two le vels of setup: • Basic: Information such as fax name/number and date/time which must be entered befor e using the machine.
Setup 1 -7 Chapter 1 Setting F AX Number/ Name F AX Number/Name (Y our Number and Name) This is very useful information for the recipient. It allo ws them to see who sent a fax and what number the y should send a response to. Y ou can choose from up to five IDs (Multiple ID), using dif ferent IDs for different recipients.
Setup 1 -8 Note How to Enter Letter s Note these instructions assume that the display is asking you to enter a name. 1 Press the appropriate button for the letter you want. The letter appears in the display . • T o enter an O, for example, press the 6 button three times.
Setup 1 -9 Chapter 1 Time/Date Setup The current date and time are sho wn in the display when the machine is on and ready for use (Standby Mode). The date and time will be printed on all fax es you send. 1 Press Setup . 2 Press ➛ ➛ ➛ ➛ or ❿ ❿ ❿ ❿ to choose ‘TIME/DA TE SETUP’ and press Start/Enter .
Setup 1 -10 Recording TA M 1 Message (SF-3100T only) The T AM (T elephone Answering Machine) message is an outgoing message (OGM) which plays whene ver a call comes in and the machine is in T AM Mode. For more information about reception modes, see “Reception Modes” on page 3-6.

A utomatic Dialling 2 -2 One-T ouch Dialling One-T ouch dialling provides you with quick access to your most frequently used numbers. Before using One-T ouch dial, you must first store a number into any of fiv e One-T ouch buttons located on the left of the machine’ s Control Panel.
A utomatic Dialling 2 -3 Chapter 2 5 Enter the name by using the keypad. • If you do not want a name, just skip this step. Y ou can assign up to 20 characters to a name. For more information, see “How to Enter Letters” on page 1-8. 6 Press Start/Enter when you’re fi nished.
A utomatic Dialling 2 -4 Note Speed Dialling Speed dialling allo ws you to quick dial your most frequently used numbers. Y ou can easily access the numbers once you hav e stored them into two-digit Speed Dial locations. Y ou can store up to 50 telephone or fax numbers in Speed Dial.
A utomatic Dialling 2 -5 Chapter 2 6 Press Start/Enter . T o store another Speed Dial location, r epeat fr om step 2. 7 Press Stop to exit when you’re fi nished. Dialling a Speed Number 1 Press Speed . The display asks you to enter the location number .
A utomatic Dialling 2 -6 Note Gr oup Dialling (f or Multi- Address T ransmissi on) Group Dial uses the One-T ouch button for quick access. Numerous Speed Dial numbers can be stored as a Group. By using the Group number , you can send a document to multiple parties through one operation.
A utomatic Dialling 2 -7 Chapter 2 7 Press Stop when you have entered all the desired destinations . The display asks you to enter a name . 8 Enter a name for the Group . If you don’t want to assign a name, skip this step. Y ou can assign up to 20 characters to a name.

The Fax Mac hine 3 -2 Sending a Fax Sending a fax is v ery simple if you follow the instructions starting from here. The y will describe ho w to load the document, set the resolution/contrast and dial the number . Loading Document 1 T urn the page face down .
The Fax Mac hine 3 -3 Chapter 3 Note Setting Docu- ment Resolution and Contrast W e recommend you send documents printed using a type writer , felt tip pen, black ink, or laserwriter . The paper should be white or very light, and of normal weight not cardboard.
The Fax Mac hine 3 -4 Sending a F ax Manuall y (after T alking) 1 Pick up the handset . • For hands-off operation, press OHD/V .Req. The dis- play shows ‘PHONE.’ • T o adjust the speaker volume, press ➛ or ❿ repeatedly to set the proper volume.
The Fax Mac hine 3 -5 Chapter 3 Sending a F ax A utomatically T o send a fax automatically , you must hav e already stored numbers into either One-T ouch button or two-digit Speed Dial locations, or Group Dial. T o learn ho w to register One-T ouch Dial, Speed Dial, or Group Dial, see “ Automatic Dialling” on page 2-1.
The Fax Mac hine 3 -6 Note Receiving a F ax Before you recei v e a fax, be sure to load one of the supported paper sizes for recei ving faxes. F or information on what paper types you can use, see “Paper T ype and Sizes (for the ASF)” on page 8-3.
The Fax Mac hine 3 -7 Chapter 3 Receiving in F AX Mode Before recei ving in F AX Mode, you ha ve to set the machine to F AX Mode by pressing Rcv . Mode/Contrast repeatedly until ‘ ❿ F AX MODE’ is displayed. • In Standby Mode, F AX appears in the right hand cor- ner of the display .
The Fax Mac hine 3 -8 Receiving in A UT O Mode Before recei ving in A UTO Mode, you ha v e to set the machine to A UTO Mode by pressing Rcv . Mode/Contrast repeatedly until ‘ ❿ A UTO MODE’ is displayed. • In Standby Mode, AUTO appears in the right hand corner of the display .
The Fax Mac hine 3 -9 Chapter 3 Receiving in T AM Mode (SF-3100T) If you are an SF-3100T user , you can turn on/off the T AM Mode by pressing the Answer button. Once you press Answer to turn T AM Mode on , the display brie fl y shows the time when the greeting message was r ecorded and shows countdown as the message is played back.
The Fax Mac hine 3 -10 Receiving via an Extension T ele- phone If you hav e an extension phone connected to your machine, you can remote-control your fax machine to start recei ving: 1 Answer the call on the extension phone . 2 Press the buttons *9* (remote r eceive start code) in sequence when you hear a fax tone.
The Fax Mac hine 3 -11 Chapter 3 V oice Request If you need to speak to the person after sending or recei v- ing a fax, you can use V oice Request feature to alert the person at the remote site that you want to talk to him/her . Y ou can also respond to a V oice Request made at the remote end.

The Answering Mac hine 4 -1 Chapter 4 4 T HE A NSWERING M ACHINE In this chapter , you will learn how to check your T AM greeting message, monitor incoming calls, play/erase messages, and access your machine from a remote telephone. This chapter is only for SF-3100T users.
The Answering Mac hine 4 -2 Recordng T AM Message (SF-3100T only) The T AM (T elephone Answering Machine) message is an outgoing message (OGM) which plays whene ver a call comes in and the machine is in T AM Mode. For more information about reception modes, see “Reception Modes” on page 3-6.
The Answering Mac hine 4 -3 Chapter 4 Monitoring an Incoming Call Call Monitoring is useful for screening calls in case you do not want to be disturbed by the person calling. T o use this feature, you hav e to first set Call Monitoring ON through the T AM Options.
The Answering Mac hine 4 -4 Erasing Old Messages Y ou’ve Heard The memory of your machine fills up as messages are recorded. Make room for ne w messages by erasing old messages that you hav e already listened to. If the memory becomes full while recording, your machine beeps a warning and disconnects the line.
The Answering Mac hine 4 -5 Chapter 4 Playing Back Messages When there are messages waiting to be heard, the Answer button flashes and the display sho ws that you have ne w messages, for example, ‘NEW : 1 ICM: 3’.
The Answering Mac hine 4 -6 Skipping Bac kward or Forwar d T o skip bac kward 1 Press !! ! ! !! ! ! ❘ ➛ ➛ ➛ ➛ ➛ ➛ ➛ ➛ while listening to the message.
The Answering Mac hine 4 -7 Chapter 4 Message Paging When you’ re out of the office or home and you want to be notified whene ver there’ s new message left on your machine, you need to use the Message Paging feature supplied with your machine. In T AM Mode, you can set your machine to transfer incoming calls to another number .
The Answering Mac hine 4 -8 Using the Ans wering Machine fr om a Remote Phone Y ou don’t need to be at the machine’ s Control Panel to operate the answering machine. If you hav e access to a T ouch-T one phone, you can operate many features, such as message playback, regardless of where you are.
The Answering Mac hine 4 -9 Chapter 4 3 Enter the Remote Command corresponding to the operation within ten seconds. • When the speci fi ed operation is complete, you hear a short beep.

Adv anced F ax 5 -1 Chapter 5 5 A DVANCED F AX In this chapter , you will learn how to use the adv anced fax features of your machine. For e xample, ho w to send the same documents to many dif ferent locations (Broadcasting) or how to set up your machine to send fax es at a preset time (Delayed fax).
Adv anced F ax 5 -2 Broadcasting W ith Broadcasting you can programme your machine to automatically scan and send documents to a number of dif ferent recipients. The documents are automatically erased from memory when Broadcasting is finished. 1 T urn the document face down and feed it into the machine.
Adv anced F ax 5 -3 Chapter 5 6 Enter the name if you want to name the transmission. If not, skip this step. 7 Press Start/Enter . The document will be scanned into memory before transmission. The display will show each number before starting each transmission.
Adv anced F ax 5 -4 Note Delayed FA X Y ou can set your machine to send a f ax at a later time when you will not be present. Normally it is cheaper to send a fax at night because telephone rates are lo wer than they are during the day . Therefore you can use Delayed F AX to save mone y .
Adv anced F ax 5 -5 Chapter 5 6 Enter the name if you want to name the transmission. If not, skip this step. 7 Press Start/Enter . The display shows the current time.
Adv anced F ax 5 -6 Polling Polling enables you (or a remote fax machine) to retriev e a document. This is useful when a person who has a document to be sent is leaving the of fice. The person who wants to recei ve the document at a later time places a call to the machine holding the original, and requests that the document be sent.
Adv anced F ax 5 -7 Chapter 5 Setting Receive P olling 1 Lift the handset or press OHD/V .Req and enter the telephone number of the remote machine. The remote machine must be in Send Polling state. 2 Press Advanced F AX when you hear a fax tone from the r emote machine.
Adv anced F ax 5 -8 T o Cancel the Scheduled Job All scheduled jobs remain in memory after they ha ve been set. Cancel unnecessary scheduled jobs to make more memory av ailable. 1 Press Advanced F AX and select ‘CANCEL SCHEDULE’ by pressing ➛ or ❿ .

Special Features 6 -2 REDIAL/ P A USE The Redial/Pause b utton has two functions. Y ou can use it to redial the number last called or one of the ten unique numbers recently stored in memory . It can also be used to insert a pause in a number when you are setting up a One-T ouch or Speed Dial number .
Special Features 6 -3 Chapter 6 T o Insert a P ause W ith some pri v ate telephone systems, you must dial an access code (9, for example) and listen for a second dial tone before dialling an outside number . In such cases, you must insert a pause in the number when you are registering Auto Dial such as a One-T ouch or Speed Dial number .
Special Features 6 -4 Chain Dialling When using special computer services, such as alternate long distance carriers, credit card calls, or bank-by-phone, you must dial the telephone number of the service and wait for the computer to answer before continuing.
Special Features 6 -5 Chapter 6 User Reports Y our fax machine can print reports containing useful information — Scheduled Info, System Data, Help report, etc. The follo wing reports are av ailable: Help This report cov ers the machine’ s basic functions and commands.
Special Features 6 -6 V oice Status (SF-3100T onl y) This report sho ws the status of the recorded message (Outgoing and Incoming messages). Y ou can see when you hav e recei ved a message and if you’ ve listened to it or not.
Special Features 6 -7 Chapter 6 User Options Y our fax machine has various user -selectable features. These options are preset at the factory , but you may need to change them.T o find out how the options are currently set, print the System Data List.
Special Features 6 -8 System Setup Options The chart belo w shows the options in the left column and their suboptions in the right column. When you hav e entered System Setup, now you can see one of the options in the display by selecting ➛ or ❿ .
Special Features 6 -9 Chapter 6 DRPD MODE (Distinctive Ring Pattern Detection) ‘Distinctiv e Ring’ is a telephone company service which enables a user to use a single telephone line to answer sev eral different telephone numbers.
Special Features 6 -10 CALLER ID (This option may not work when connected to a P ABX.) Y ou can see the number of the person calling you. Choose ON to turn on caller ID display . Choose OFF to disable it. Note that the RCV . ST AR T CODE is disabled when this Caller ID option is on.
Special Features 6 -11 Chapter 6 T AM Options (SF-3100T only) OPTIONS ST A TUS CHARGE SA VE Lets you dial into your machine from a remote phone and check whether anyone has left a message without being char ged. When Charge Sa ver is ON, the machine answers your call on the number of rings you hav e specified in the ‘Rings to Answer’ option.
Special Features 6 -12 V olume Setup Y ou can selectively operate alarm and k ey v olume. 1 Press Setup . 2 Press ➛ ➛ ➛ ➛ or ❿ ❿ ❿ ❿ button until the display shows ‘VOLUME SETUP’. 3 Press Start/Enter . The display shows the type of volume you can choose.
Special Features 6 -13 Chapter 6 Clearing Memory Y ou can selectively clear information stored in your machine’ s memory . 1 Press Setup . 2 Press ➛ ➛ ➛ ➛ or ❿ ❿ ❿ ❿ to choose ‘MEMOR Y CLEAR’. 3 Press Start/Enter . The display shows the type of information you can clear from memory .

Care and Maintenance 7 -2 Cleaning the Document Scanner T o keep your machine working properly , occasionally clean the White Roller , ADF Rubber , and the Scanning Glass. If they are dirty , documents sent to another fax machine won’ t be clear . Note If you turn the po wer off to clean the scanner , documents stored in memory will be lost.
Care and Maintenance 7 -3 Chapter 7 5 Carefully wipe the Scanning Glass with a soft, dry cloth. If the glass is very dirty , fi rst wipe it with a slightly dampened cloth, then with a dry one. Be careful not to scratch the glass surface. 6 Replace the roller in reverse order , and then close the Control Panel fi rmly until it clicks into place.
Care and Maintenance 7 -4 Replacing the Print Cartridge The print cartridge includes the ink supply and the printhead. Each time you replace the print cartridge, you are replacing the printhead as well. When you notice that the print becomes light or ‘INK LO W’ appears in the display , replace the print cartridge.
Care and Maintenance 7 -5 Chapter 7 6 Insert the Cartridge in the Carrier , then push it fi rmly until it clicks into place. If the Cartridge moves loosely in the Carrier , it has not clicked into place. Repeat this step. 7 Replace the Cartridge Compartment Cover and Control Panel .
Care and Maintenance 7 -6 Cleaning the Cartridge T o maintain good printing quality , we recommend you occasionally wipe the Print Nozzles and Contacts as described belo w: Wiping the Print Nozzles an.
Care and Maintenance 7 -7 Chapter 7 4 Gently blot and wipe the contacts and nozzles dry . Use a clean cloth dampened with water only to gently clean the entire copper -colored area, including the nozzles and contacts. T o dissolve any dried ink, hold the damp cloth against the nozzles for about three seconds.
Care and Maintenance 7 -8 Cleaning the Car - tridge Carrier Contacts and Deflector W ARNING! Before cleaning these parts, there should be no scheduled job such as Delayed F AX or Send Polling, etc. Once you have unplugged the po wer cord from the machine, all the data will be lost.
Care and Maintenance 7 -9 Chapter 7 Cleaning the Printhead If the nozzles seem to be clogged and characters are not printing completely , clean the printhead as described below: 1 Press Setup and fi nd ‘MAINTENANCE’ by pressing ➛ or ❿ . 2 Press Start/Enter and scroll to ‘CLEAN HEAD’ by pressing ➛ or ❿ .
Care and Maintenance 7 -10 Ink Le vel Vie w Y our machine allows you to check the amount of ink remaining. The machine displays a fractional number . For examples, ‘1/8’ means that ink is low and you need to replace the cartridge.‘8/8’ means that a new cartridge is installed.
Care and Maintenance 7 -11 Chapter 7 Adjust Shading The shading is adjusted at the factory . If, howe ver , you drop and damage your machine while moving, we recommend you adjust shading for optimized lightness. T o adjust Shading, do as follows: 1 Load a plain WHITE sheet of paper (no writing or graphics) into the loading slot.
Care and Maintenance 7 -12 Print Car tridge Maintenance The print cartridge life is very sensiti ve to the content of the recei ved fax or a cop y you made. T o increase its life, we recommend you follo w the instructions below: 1 DO NOT unpack the cartridge until you are ready to use it.
Care and Maintenance 7 -13 Chapter 7 LCD Err or Messages Display Meaning RETR Y REDIAL? The machine is waiting to automatically redial another fax number that was busy or did not answer . DOCUMENT J AM The document you are sending has jammed in the feeder .
Care and Maintenance 7 -14 Fixing Pr oblems Y our problem may be listed in “LCD Error Messages” on page 7-13. The chart belo w shows other problems you can solve yourself. If not, call the service compan y sho wn in the “Guarantee. ” on page 8-6.
Care and Maintenance 7 -15 Chapter 7 Print Quality Pr oblems P aper Feeding Problems Problem Solution Light or blurred characters. Check ‘Ink Lev el V iew’ as described on page 7-10. If the printer cartridge has completely run out, ‘INK LO W’ is displayed.
Care and Maintenance 7 -16 Clearing Jams Document Jams During T ransmission If a document jams during transmission or copying, ‘DOCUMENT J AM’ appears in the display . DO NO T pull the document out of the slot. Doing so could harm your machine. T o clear document jam: 1 Open the Control Panel .

Installation 1 Installation Make Sure Everything Is in the Box Once you hav e unpacked your machine, check to make sure you ha ve all the parts sho wn here. Installation 4 Connections Please re vie w the safety precautions on first page of this manual, then follow the directions in this Installation Guide to connect your machine and set it up for use.
Installation 5 Installation HandSet Plug one end of the coiled cord into the jack on the handset. Then plug the other end into the modular jack on the left side of the machine. Document T ray 1 Insert the two tabs on the Document T ray into the slot on the top of your machine.
Installation 6 Document Exit T ray Insert both ends of the Document Exit T ray into the slots on the front of your machine. T elephone Line Plug one end of the telephone line cord into the TEL. LINE jack and the other end into a standard phone wall jack.
Installation 7 Installation Extension Phone (Optional, SF-3100 only) Plug the cord of your extension phone into the T AM Lead and plug the T AM Lead into the socket marked on the back of the machine. A C P ower Cord Plug one end of the cord into the back of the machine and the other end into a standard, grounded A C socket.
Installation 8 Bac kup Battery (SF-3100T only) The battery maintains the setup configuration and messages when a po wer failure occurs or when po wer is accidentally disconnected. W e recommend you use an alkaline battery because it lasts longer than a con v entional battery .
Installation 9 Installation Loading Paper T o receiv e fax es or make copies, you should load the paper in the ASF (Automatic Sheet Feeder). Y ou can load approximately 100 sheets of paper . 1 Pull the Paper Support on the ASF all the way up. 2 Before loading papers, push down the blue Paper Lever .
Installation 10 Installing Print Cartridge When the machine is po wered up without the print cartridge installed, the LCD displays ‘NO CAR TRIDGE ’. 1 Press Setup . The display shows ‘CHANGE CAR TRIDGE’ 2 Press (Start/Enter). 3 Open the Control Panel ( ➀ ) and the Cartridge Compartment Cover ( ➁ ) with your hand.
