3 • Do not connect your fax machine to a power source that is used by other equ ipment produci ng electrical noise (i.e., air conditioners, etc.). • Leave electronic a djustments to authorized se rvice personnel. • The LINE port connects your fax machine to a stan dard telephone li ne.
4 T oner Car tridge & Image Drum Handling • Leave unused tone r cartridges and image drum u nits in their packages until needed. When re placing a toner cartridge or image unit, reu se the packagin g to dispose of the old toner cartridge or image drum unit.
5 Introduction Fea tu r e s Y our fax machine i ncludes all the fol lowing features: • 40 One-T ouch keys f or automati c, single-key dialing of pre- programmed tel ephone numbers. • 150 Auto Dial numbers for au tomatic dialing of additional pre-programmed teleph one numbers.
6 Safety Instructions This machine has been carefully designed to provide years of safe, reliable performance. As with al l electrical equipment, ho wev er, there are a fe w basic pre cautions th at should be tak en to av oid personal injury o r damaging the ma chine: • Read this guide carefully and save it for future reference.
7 Product Options Memory Expansion Installing additional memory al lows the fax machine to store more pages of i nformation in memory . If you are constantly seeing a MEMOR Y OVERFLOW message on your fax machine, you should consider p urchasing additio nal memory .

9 14. AC Power Socket : Connect the power c able supplied with your fax machine into this socket. 15. Cable Run : When installin g the optional e xternal handset, feed the telephone line thro ugh this line run to TEL terminals.
10 Control Panel & Indicators 1. LCD Panel : Refer to this liquid cry stal display (LCD) pane l for instruction s and informa tion while ope rating or programming y our fax machine. 2. Numeric Keypad : When dialing, these twelve keys work like the keypad on a telephone.
11 place, pressing this key opens the telephon e line for manual dialing (not av ailable in some cou ntries). Y ou will hear th e dialing tone thro ugh the speaker of your fax machine.
12 17. Sta r t K e y : Pressing the Star t ke y initiates the operation indicated o n the display o r conf irms informatio n you ha ve entered into the display . While the fax machine is in po wer sav e mode, press the Start key to exit po wer save mode.
13 Y ou can also use the Location IDs (names) associated with One-T ouch ke ys to search for these locations b y name using the Search ke y . There are 40 One-T ouch K eys av ailable for programming. T o access One- T ouch ke ys 21-40, grasp the One-T ouch keypad latch and swing the main One-T ouch panel up and out of the way .
14 7. Counter Display Ke y : Y our fax machine keeps track of the number of pages it has printed and scan ned. Using this key checks the print counters of your fax machine and resets the drum counter of your fax machine after replacing t he image drum unit.
15 Installation Getting Started T o install your ne w fax machine, follo w the instructions for the steps from Unpacking ( belo w) to “Fax Machine Identif ication” on page 25. Y ou must complete these steps for your fax machine to operate prop erly .
16 Setting Up Installing Document Stacker 1. Slip the document stacker inden ts over the tabs on the rear of the unit. Y ou will fe el them loc k into plac e. Installing T oner Car tridge 1. Lift the document tabl e into an upright positi on. 2. Press in the cover release butto ns on the sides of the copy stacker until you he ar a click.
17 3. Lift the image drum unit out, keeping the image drum unit out of direct sunlight. DO NOT touch the green surface of the drum. 4. Carefully remove the prot ectiv e sheet from the i mage drum unit. 5. Place the image drum unit back int o your fax machine.
18 carefully peel t he white plastic tape from the bottom o f the toner ca rtridge. WARNINGs Be careful when handling the to ner cart ridge. Do not le t toner spill onto your clothin g or ot her porous materials. If you experience any problems with toner, refer to the safety instructions at the beginning of thi s User’s Guide.
19 Connecting T elephone Line 1. Insert one en d of the teleph on e cable int o the LINE terminal at the back of the machine . 2. Insert the other end of th e telephone cable into your wall telephone so cket. Note: An external tel ephone or op tional external handset can be connected to the fax mac hine.
20 5. Insert the other end of th e telephone cable into the TEL sockets on the back of the fax machine. Connecting Exte rnal T elep hone or Answering Machine 1. Insert one end of the teleph one cable into the TEL terminals on the back of the machine. 2.
21 4. Tu rn the power swit ch on (the I should be pressed down). Y our fax machine will take a few moments to warm up. 5. The time and current answering mode will appear on the display . Y our fax machine is now in standby mode, rea dy to send or receive faxes.
22 2. Adjust the paper gu ides to the widt h of your paper . 3. If necessary , lift and adjust the vertical paper guide for the length of your paper . 4. If you are usin g legal size pape r , pull out the extension at the back of the paper cassette. 5.
23 Note: Be sur e the paper is under the tabs at the le ft and right edges of the cassette . Do no t f ill past the P aper Full marker . If necessary , readjust the guides for a snug (but not tight) f it. 7. Return the tray to the slot. Push it forward until it locks.
24 answer the telephone and someon e tries to send you a fax mes- sage, your machine will not accept i t. Note: Some older types of fax machines do not send CNG tones and the line may be silent when yo u answer a call in TEL answering mode .
25 Chang ing Answering Mode Follo w these instructions to chan ge the answering mode on your fax machine. 1. Press the Auto Rec key . Y our fax machine displays your current an swering mode. 2. Press the Auto Rec key again. Y our fax machine switc hes to the nex t answering mo de.

27 Setting F orwarding Number When the answering mode of yo ur fax machine is set to Fax Forw arding [FWD], it will recei ve f ax messages into memory and then auto matically re send the faxes to the number which you enter here . 1. Press the Select Func tion key .
28 6. T o accept the language change, press the YES key . 7. Press the Select Function key to finish. Connecting to a P BX A PBX (Pri vat e Branch Exchange) is a pri v ate telephone system used to route internal calls. If yo u ha ve to dial a prefix (access) number to get an outside line, th en your line is connected to a PBX.
29 Dial Directories One- T ouch Keys Programming One- T ouch K eys Y our fax machine has 40 One-T ouch keys for rapid dialing. Y ou can store up to two f ax numbers with 40 digits on each One- T ouch ke y , a main number and an alternate number . The alternate number is used if the main numb er is b usy or does not answer .
30 4. Press the Start key . 5. Enter the Location ID. This is a descriptive ti tle up to 15 characters long. Refer to the instructio ns below . 6. Press the Start key . The display sh ows NO=<OR LOCA TION> . 7. If an alternate fax number i s required, refer to the instructions foll owing St ep 3.
31 13. Lift off the plastic co ver abo ve the One-T ouch label. Using a pencil, write in the name for your newly-programmed One- T ouch ke y . Replace the co ver . Note: If you want to delete any pr ogramming for a One-T ouch ke y , follow Steps 1 - 2.
32 6. Press the Start key . 7. Enter the Location ID. This is a descriptive ti tle up to 15 characters long. Refer to the instructio ns below . 8. Press the Start key . The mach ine displays G3 CO MMUN. SPEED.[33.6K ] YES (<-) NO (->) . 9. Select with the NO key and then press th e YES key .

34 Basic Operation Preparing Documents – T ry to use good qu ality documents for your transmis sions. Documents that are typed or created in felt -tip black ink on white (or light) paper work best. – Do not send document s which are not rectangular .
35 1. Adjust the do cument guides to the width of the paper you are using. 2. Neatly stack yo ur documents, and t hen insert them face down into the document feed er . If necessary , readjust the document guides fo r a snug fit. 3. Y our fax mach ine will grip the document s, and pull the bottom page into the machine.
36 3. If necessary , press the Start key to begin the transmission. Search Ke y Dialing If unsure which One-T ouch key or Auto Dial number contains the location you wa nt to communicate with, use the Search key to look th rough an al phabetic al list of all of the Location IDs programmed into your fax machine.
37 Stopping T ransmissions T o stop a transmission while it is in progress, follo w the instructions b elow . 1. Press the Stop key twice. The display will sh ow STOPPED . 2. If documents are stuc k part way throug h the document feeder , you may see the fo llowing message on the display RELOAD DOCUMENT .

39 3. Press the YES key to erase the message fro m the memory of your fax m achine. Rejecting Unsolicit ed Fa x Messages The closed netw ork option allows you to limit the loca tions with which your fax machine can communicate.
40 ha ve to resend . Refer to “Reports” on page 60 for more information. Making Copies Y our fax ma chine can also be used t o make copies. Y ou can mak e up to 99 copies at one time. Y our fax ma chine automatically makes all copies in FINE mode.
41 4. Adjust the paper guides on the manual paper feeder . 5. Insert a sheet o f paper face up, ad justing the guid es again to ensure the paper is stra ight. 6. Press the COPY key . Note: It is r ecommended to make single copies only when using the manual pa per feed slot.

46 7. Press the St ar t key and your fax machine wi ll begin sending the fax . Receiving Confidential F axes Before you can recei ve conf idential fax es, you have to create a confidential or personal mailb ox on your fax machin e that is password protected (see below).
47 Changing Password or Closing Mailbo x If you want to chan ge the password of an exist ing mailbox, or if you want to clo se an existing mailbox, follow the i nstructions below . 1. Press the Select Function key . 2. Press the 9/User Prog. One-T ouch key .
48 6. Using the nu meric keypad, enter the 4-di git password for th e mailbox you want to print fro m. 7. Press the YES key . The message begins printing. Note: If you want to clear th e mailbox without waiting for printing, pr ess the Sto p ke y at this point.
49 7. Press the YES key and the display changes to SELE CT LOCA TION . 8. Select the location of the re lay key station as follows: 9. Press the Start key .

52 • Load another document and prepare it for t ransmission. • Continue to load document s as long as there is memory available o n your fax ma chine. When the first tra nsmission is complete, the next fax is au tomatically sent . • Make copies.
53 Customizing F eatures & Operations Many features and functions of your fax machine have settings, which can be changed to cust omi ze the operations of your fax machine. Because each country has dif ferent regulations, you may not be able to access all of the settings listed belo w .
54 • When Part. is selected, the common heade r of the first page is added in original size. • When Whole i s selected, the first page is added at a reduced size. 05: SENDER ID : This function c ontrols th e printing of the Sender ID of your fax machine on the faxes you send.
55 12: DISTINCTIVE RING : Distincti ve ringing is a service of fered by some te lephone services that allo w you to have dif ferent numbers on one line, each wi th its o wn distinctiv e ring. In this way , when you get an incoming ca ll, you can identify what number is being called by the ring pattern.
56 ther e will be no change in fax transmission time because ECM will not be used. 20: REMOTE DIAGNOSIS : The remote diagnostic s feature allo ws a service person to remotely dial and service your fax machine.
57 26: RESTRICT ACCESS : Select whether or n ot you wan t restricted access. T u rning on this function renders your restricted ID registra tion activ e. A vailable settings are On and Off. 27: WIDTH REDUCTION : T urning this function on enables yo u to print recei ved data at a slightly reduce d width.
58 6. Press the YES key . The displ ay changes to SETU P F AX RING , CALL F AX NUMBER NOW . 7. Using a separate teleph one line, immediately dial the number assigned to the fax machin e (you must do this within 90 second s). When your fax machine begins to ri ng, the display changes to AUTO DETECTING , RING P A TTERN .
59 dialing (the tone duration varies in differen t countries). A vail- able settings are 75 ms, 85 ms, and 100 ms. PBX LINE : T urn this function on if your fax mach ine is con- nected to a PBX.
60 Repor ts Understanding Repor ts Y our fax mach ine provid es a v ariety of useful reports, wh ich help you understand the curren t settings, programming, and operations of yo ur fax machine .
61 Active Memory Files Report The acti ve memory f iles report provides a list of all messages stored in your fax machine’s me mory , either do cuments w aiting for transmission or do cuments th at ha ve been recei ved and not yet printed. Information prov id ed on this report includes: RECEPTION : Prints out memory reception informa tion.
62 Protocol Dump In the e vent of an obstruction to transmission, use the follo wing report to analyze the cause of the obstructio n. Send this report to the dealer or service center i f so requested.
63 – The Location ID of the One T o uch ke ys and Auto Dial codes you have selected. – T elephone numbers you ha ve manually entered usi ng the numeric keypad. T o access this report, generat e a Broadcast. See “Perform a Broadcast Op eration” on page 42 for details.
64 Codes Used In Repor ts Result Codes The follo wing codes indicate the results of communications. Communicat ion Codes The following codes indic ate the communication mode used for a communication. Code Description BUSY The other machine’s line was busy or there was no answer .
65 Problem Solving Clearing Document Jams When a document jam occurs, your fax machine beeps and an error message appears in the display . If the jamme d document looks like it is positioned straight in your feeder , press the Sto p ke y to try to fee d the document th e rest of the w ay through t he feeder .
66 Clearing Print er P aper Jams If your fax machine displays PA P E R J A M or NO P APER when the paper cassette still contains paper , there may b e one or more sheets of paper jammed in the machin e. Clearing pape r jams is as follo ws: Note: If you are e xperien cing many paper jams , it may be due to the type of paper you ar e u sing.
67 by the ends. Nev er touch the su rface of the green drum inside the im age dr um unit. 4. Lift the image drum unit out an d set it aside. Keep it out of direct sunlight an d DO NOT touch the green surface o f the drum. 5. Carefully pull out any paper you see jammed inside the machine.
68 8. Slide the paper cassette all t he way back into your fax machine. 9. Place the image drum unit back int o your fax machine. T o ensure that the image drum is positioned correctly , press down firmly on both of the locations on the i mage drum marked “PUSH”.
69 Replacing T oner Cartridge The number of pages you can print with one toner cartr idge v aries depending on the type of documents you usu ally receiv e or copy . The first toner ca rtridge in stalled in a ne w image drum unit will ha ve a decreased yie ld because the image drum unit itself has to be filled.
70 image drum un it. Dispose of it in the plastic ba g you received with your new toner car tridge. 4. Remove the new t oner cartridge from its packa ge and gently shake it from side to side to distribute the toner . Then carefully peel t he white plastic tape from the bottom o f the toner ca rtridge.
71 7. Using the cleaning wipe p rovid ed in the package with your new toner cartridge , gently wi pe back and forth across the full length of the LED array . 8. Close the copy stacker and push down until you hear the copy stacker click into place. Be sure that the c over latches on both sides.
72 1. Lift the document table in to an upright position. 2. Push in the cover rel ease buttons on th e side of the co py stacker until you hear a clic k.
73 5. Install a new toner cartri dge. Follow S teps 4 to 9 in “Replacing T oner Cartridge” on page 69. 6. W ith the copy stacker and document table closed, wait unti l the time and answerin g mode appear on the displa y . Then press the Select Funct ion key .
74 2. Place the image drum u nit with toner cartridge still attached into a black plastic bag and kee p it away from di rect sunlight. 3. Re-package the fax machine a nd the image drum unit separately into p ackaging ma terial and a shipping carton.
75 machine may be using the wrong dialing method (pulse or tone) for your area. If you hear changing tones instead of dialing pulses and you know that your area uses pulse diali ng, refer to the MF(T ONE)/ DP(PULSE) dial parameter setting in Programming.
76 o Y ou sent a fax but it was received completely blank . Make sure that you have correctly loaded your docu- ment face down. o The image received on you r fax machine was very poor . Contact the person se nding you the fax and ask them to change their T ransmit Resolution and T ype of Original settings.
77 o Y our fax machine disconnected befo re you could answer a voice request . Y ou must answer a voice request while the warbling tone is being emitted. When you hear the warbling tone, press the Hook/V . Request Key after picking up your handset. o Someone tried to send you a confiden tial fax but nothing happened .
78 I-Fax I-Fax, despite its compli cated nature , is an easy-to-use feature. The T .37 protocol al lows yo ur fax machin e to send and re cei ve email ov er your LAN connectio n, without ev er n eeding to be hooked up to your computer .
79 W hat Y our I-F ax Machine Can Do I-Fax is a fea ture with many ca pabilities. This unit can: • send and receive faxes via a Publ ic Switched T elephone Network (PSTN) • send and receive faxes .
80 Inter net Fax Protocols Int ernet F ax T ransmission General Informati on T o send an Internet Fax message, you need a mail server from which to send email. Please consult your network administrator abou t the settings listed below , which are required in order to make a conne ction to the mail serv er .
81 The machine is ready to re ceive Inte rnet Fax messages when these settings have been configure d. T o receive a fax message, the machine will access the server automatically at regular intervals according to th e POP Interval T ime setting. If there is mail, the machine will print it out automati cally .
82 Header The header includes all rout ing information for the path your Internet F ax follo wed from the time it w as sent to the time it w as recei ved. The header is automatically gene rated as part of the Internet Faxi ng process. Email The email includes the T o, From, and Date in formation.
83 Status of Server Internet F axing is conducted o ver the Internet via network servers. If the servers are down, running slowly , or experiencing other problems, Internet F axing will be adversel y af fected. Backup/Archive (Email Scanning) Y ou can use yo ur fax machine t o create digital versi ons of documents you only have in hardcopy form.
84 3. Using the nu meric keypad, press 5 . The display will show 5:CONFIGURA TION . 4. Press . The report will print. I-F ax N IC Options The follo wing lists the a v ailabl e options for setting up and adjusting the Network Interf ace Card (NIC) functions.
85 I-F ax N IC Settings The I-Fax NIC settings can be accesse d using the follo w ing: 1. Press Select Function to enter the men u. 2. Press 9/USER PROG to enter the programming me nu and then press keyp ad 8 for I-F AX NIC OPTIONS . 3. Press to enter I-FAX NIC SETTINGS .
86 Header Print • Settings: TYPE 1, TYPE 2, or O FF • Default: TYPE 1 • OFF: Do not prin t header • TYPE1: Print SUBJECT/FROM/T O • TYPE2: Print all header information This setting is only valid when the TEXT Print setting is ON.
87 • Default: ON Adds the sender ID to th e main body of images scanned by Internet Fa x. This setting w ill always ap ply when using Internet Fax, regard- less of the setting for 4 :SYSTEM DA T A PRG . When using Internet Fa x as an email sc anner , turn this setting OFF to pre- vent the sender ID data from appearing in scanned images.
88 Daily Daily sets the machine to check the mail server once a day . Thus, it is re quired that the t ime of day is set for th is option. – When the DAIL Y setting is selected, the ti me of day when the mailbox is polled requires setting . There are four dif ferent time settings available.
89 • When 0.0.0.0 is set as the IP ad dress, the DHCP fu nction automatically sta rts. If a DHCP server is fo und, an IP address is obtained from t he DHCP server . • From then on, an IP address is obtained from the DHCP server each time the power is turned OFF and ON; therefore, it is not necessary to chan ge the IP address.
90 1. Press the Number keys to inse rt either text or numbers. Press them repeatedly to enter the character desired. 2. T o jump to the next field, use the or key . 3. Press the Start key to enter your settings. Restrictions • If DNS has not been set, enter the IP ad dress of the serv er .
91 5. Press the Start key to enter your settings. Restrictions • Up to 16 characters may be entered. • POP USER ID and POP P ASSWORD settings in the fax machine must match the POP3 us er name alre ady enter ed in the server . • Y ou may use Latin letters, numbers and symbols.

94 I-F ax User Int e raction Sending Email Sending emails can be accomplished in the follo wing ways: 1. Manually entering an email wit h the Email key . 2. Using a pre programmed One-T ouch key . 3. Using the Group Emai l setting. 4. Using the Broa dcast feature.
95 Email Using O T Key A document can be sent to an ema il address (or se veral email addresses) by pressing pre- programmed one-touch ke ys, but cannot be sent to reci pients with telephone numbers registered on One-T o uch ke ys. 1. Place a document in the machine.
96 Receiving Email This fax machine automatically conn ects to the serv er to recei ve mail according to the setting “P OP Interv al” on page 87. If there is mail on the serv er, rec eption will start automatic ally . If there is more than one mail message, it will receiv e all the messages and print the m out autom atically .
97 I-F ax T roubleshooting If a communication error occurs, check the servi ce code sho wn on the Acti vity Report. SMTP Communication The service code for a SMTP comm unication is pref ixed with the letter E. POP3 Communication The service code for a POP commu nication is pre fix ed with the letter F .
