1 - 1 INTRODUCTI ON 1 Using this Guide Thank you for buying a Brother Multi- Function Center (MFC). Your machine is simple to use, with LCD screen instructions to guide you through progr amming it. You can make t he most of your machine by reading through this Guide.
INTRODUCTION 1 - 2 Control panel over view 1 TAD keys On/Off Lets you activate the TAD (Telephone Answe ring Devic e) and will bli nk if you hav e new me ssages. Play/Reco rd Lets you listen to voice m essages stored in memo ry. Also, l ets you record teleph one calls.

INTRODUCTION 1 - 4 Power Save mode When the machine i s idle, you c an put the machine i nto Power Save by pressin g the Po we r Sav e key. In Power Save mode, the machine will receive t elephone calls as normal. For further informa tion on recei ving faxes i n the power save condit ion, please see the table on page 1-5.
1 - 5 INTRODUCTI ON Receiving faxes in Power Save mode You can custo mize the machi ne’s Power Save key. The default mode is Fax Receive :On , so your machine can receive faxes or calls even when the machine is in Power Save mode. If you do not want your mach ine to r eceive faxe s or cal ls, turn t his sett ing to Fax Receive:Off .
INTRODUCTION 1 - 6 Load do cumen ts You can send a fax, make copies, and scan fr om the ADF (automatic document feeder) or f rom the scanner glass. Using the automat ic document feeder (ADF) The ADF can ho ld up to 10 pages an d feeds each sheet i ndividually.
1 - 7 INTRODUCTI ON 1 Fan the pages well. Make sure you put the documen ts face down, top edge first in the ADF unti l you feel them touch the feed r oller. 2 Adjust the paper guides to fit th e width of y our documents. 3 Unfold the ADF Document Output Support Flap.
INTRODUCTION 1 - 8 Using the sca nner glass You can use t he scanner glass to fax pages of a book or one page at a time. Document s can be up to 216 mm wi de and 297 mm long. 1 Lift the document cov er. 2 Using the d ocument guidelines on the l eft, cent er the doc ument face down on the scanner glass.
1 - 9 INTRODUCTI ON About pa per The print quali ty can be affected by the type of paper you use in the machine. To get the best print qual ity for the settings you’ ve chosen, always set the Paper Type to match the type of paper you load . You can use plain paper, inkjet paper (coated p aper), glossy paper, transparenci es and envelopes.
INTRODUCTION 1 - 10 Handling an d using specia l paper ■ Store paper in its ori ginal packagi ng, and keep it sealed. Keep the paper flat and away from moistur e, direct sunlight and heat. ■ The coated side of gl ossy paper is shiny. Avoid touching the shiny (coat ed) side.

INTRODUCTION 1 - 14 How to load paper, envelopes and post cards To load paper or other media 1 Pull the paper tra y completely out of the machine and remove the output paper tr ay. 2 Press and sl ide the paper side gui de to fit the pape r width. 3 Pull out the paper suppor t and unfold the paper suppor t flap.
1 - 15 INTRODUCTION 4 Fan the stack of paper well to avoi d paper jams and mis-feeds. 5 Gently insert the paper into the paper tray pri nt side down and the leadi ng edge (to p of the paper ) in fi rst. Check that t he paper is flat i n the tray and bel ow the maximum paper mark.
INTRODUCTION 1 - 16 To load envelopes ■ Use envelopes that weigh from 75 - 95 g/m 2 . ■ Some envelopes r equire margi n settings i n the applic ation. Make sure you do a te st pr int first. How to load e nvelopes 1 Before loadi ng, press the cor ners and sides of t he envelopes to make them as f lat as possible.

If you hav e Call Minder on the phone l ine where you wi ll install your new machine, there is a strong possibili ty that Call Minder and the machine may confli ct with each other while receiv ing incoming cal ls .
1 - 19 INTRODUCTION Fax tones and handshake When someone is sending a f ax, the machine sends f ax calling tones (CNG tones). These are q uiet, inter mittent beeps every 4-seconds. You’ll h ear them aft er you di al and press Mono Start or Colour Start and they will continue for about 60 seconds aft er dialling.
INTRODUCTION 1 - 20 ECM (Error Correction Mode ) The Error Correc tion Mode (ECM) is a way for th e machine to check a fax transmissi on while it is in progres s. If the machine detects errors dur ing fax tr ansmission, i t resends the pages of the fax t hat had an erro r.
2 - 1 GETT ING STARTED 2 Initial Setup Setting the Date and Time When the machine is not in us e it will display the dat e and time. If you set up the Station ID the date and time displ ayed by your machine will be printed on eve ry fax you send. If ther e is a power failure, you may have to reset the date and time.
GETTING STARTED 2 - 2 Setting the Stat ion ID You should s tore your name or company name and fax number so they print on all fax pages you send. It is important tha t you enter the fax number in the inter nationall y standardize d format, i.
2 - 3 GETT ING STARTED Setting the Phone Line Type If you ar e connecting t he machine t o a line t hat featur es a PBX or ISDN to send and receive faxes, it is also necessary to change t he Phone Line Type accordingl y by completing the foll owing steps.
GETTING STARTED 2 - 4 General Setup Setting the Mode Timer The machine has four temporary mode keys on the co ntrol panel : PhotoCapture, Copy, Fax a nd Scan. You can change the number of seconds or minutes the machine takes af ter the last Copy, Scan or PhotoCaptur e operation before it retur ns to Fax mode.

2 - 7 GETT ING STARTED Setting the Speaker Volume You can adjust the speaker vol ume. 1 Press Menu/Set , 1 , 4 , 3 . 2 Press ▲ or ▼ to select Low , Med , High or Off . Press Menu/Set . 3 Press Stop/ Exi t . — OR — In Fax mode , you can adjust the spea ker volume by pressing Speaker Phone , and then selectin g a speaker volume level.
GETTING STARTED 2 - 8 Turning on Automatic Dayli ght Savings Time You can set the machine to change aut omatically f or Daylight Savings Time. It will reset itself forward one hour in the Spring and backward one ho ur in t he Autumn. Make sure you have set the correct day and time in the Date/Time setting.
3 - 1 SETUP SEND 3 How to enter Fax mode Before sending faxes , make sure ( Fax ) is i llumin ated i n green. If not, pr ess ( Fax ) to enter Fax mode. T he default setting is Fax. How to dial You can dial in any of the fol lowing ways. Manual dialling Press all of the di gits of the phone or fax number.
SETUP SEND 3 - 2 Speed-Diall ing Press Sea rch/Speed D ial , # , and then the two digit Speed- Dial number. (See Storin g Speed-Dial number s on page 5-1.) Search You can search for names you have stored in the Speed-Dial mem ory. P ress Search/S peed Dia l and the navigation keys to search.
3 - 3 SETUP SEND How to Fax Colour fax transmission Your machine can send a colour fax to machines tha t support this feature. However, colour fa xes cannot be stored in the memory. When you send a colour fax, the machine will send it in real time (even if Real Time TX is set to Off ).
SETUP SEND 3 - 4 Faxing from the scanner glass You can use t he scanner glass to fax pages of a book or one page at a time. The documents can be up to A4 size. 1 If it is not illuminated in green, press ( Fax ). 2 Load your document on the scanner glas s.
3 - 5 SETUP SEND Automatic transmissi on This is t he easiest way to send a fax. 1 If it is not illuminated in green, press ( Fax ). 2 Load your document. 3 Dial the fax number you want to call. (See How to dial on page 3-1.) 4 Press Mono Start or Colour Start .
SETUP SEND 3 - 6 Basic sending operations Sending faxes using m ultiple sett ings When you sen d a fax yo u can choose any combina tion of thes e settings: contrast, resolu tion, overseas mode, delayed fax ti mer, polling tr ansmission or real time trans mission.
3 - 7 SETUP SEND Fax Resolution You can use t he Fax Resolution key to change the setting temporaril y (for this fax only) . In Fax mode , press Fax Resolution and ▲ or ▼ to se lect the setti ng you want, and then press Menu/Se t . — OR — You can change the default setti ng: 1 If it is not illuminated in green, press ( Fax ).
SETUP SEND 3 - 8 Dual Access (Monochrome only) You can dial a number, and begin scanni ng the fax i nto memory— even when the machine is sending from memory or receiving faxes. The LCD shows the new job number and available memory. Your machine normall y uses Dual Access.
3 - 9 SETUP SEND Real Time Transmission When you are s ending a fax, the machine will scan the document into the memory before sending. Then, as soon as the phone line is free, the machine will start diall ing and sending. If the memory becomes full , the machine will send the document in real time (even if Real Time TX i s set to Off ).
SETUP SEND 3 - 10 Checking job status Check which job s are still waiting in th e memory to be sent . (If there are no jobs, the LCD shows No Jobs Wait ing .) 1 Press Menu/S et , 2 , 6 . 2 If you h ave more than one job wai ting, press ▲ or ▼ to s croll through the li st.
3 - 11 SETUP SEND Advanced s ending operations Broadcasting (Monochrome only) Broadcasting i s when the same fax message is automati cally sent to more than one fax number. You can inc lude Groups, Speed- Dial numbers and up to 50 manually diall ed numbers in the same broadcast.
SETUP SEND 3 - 12 To Stop a Bro adcast In Pr ogress 1 Press Menu/S et , 2 , 6 . The LCD will display the fax number being dialled. 2 Press Menu/S et . The LCD will display: 3 Press 1 to Clear. The LCD will then display the Broadc ast job number and 1.
3 - 13 SETUP SEND Delayed Fax (Monochrome only) During the day you can store up to 50 faxes in t he memory to be sent within 24 hours . These faxes will be sent at the time of day you enter in Step 4. 1 If it is not illuminated in green, press ( Fax ).
SETUP SEND 3 - 14 Setup for Polled Transmit (Standard) (Monochro me only) Polled Transmit is when you set up the machine to wait with a document so anot her fax machine can r etrieve i t. 1 If it is not illuminated in green, press ( Fax ). 2 Load your document.
3 - 15 SETUP SEND Memory S ecurity Memory Security lets you prev ent unauthorized access to the machine. While Memory Security is On the following operati ons are available: ■ Receiving fax es into .

SETUP RECEIVE 4 - 1 4 Basic receiving oper ations Choosing the Receive Mode There are four different Recei ve Modes for your machine. You can choose the mode that best suits your needs.

SETUP RECEIVE 4 - 3 Setting the Ring Delay The Ring Delay sets the number of times the machi ne rings befor e it answers in Fax Only , Fax/Tel and TAD:Msg Mgr modes. If you have extensi on phones on th e same line as the machine or subscribe to the telephone company’s BT Call Sign serv ice, keep the Ring Delay s etting of 4.
4 - 4 SETUP RECEIVE Setting Toll S aver (TAD mode) When you set t he toll saver feature, the machine answers after f our rings if you do not have voi ce or fax messages and after two r ings if you do have voice or fax messages.
SETUP RECEIVE 4 - 5 Setting the F/T R ing Time (Fax/Tel mode on ly) If you set the Receive Mode to Fax/Tel , you’ll need to decide how long the machine will sign al y ou with its special pseudo/double-ring when you have a voi ce call. (If it ’s a fax c all, th e mac hine prin ts the fax.
4 - 6 SETUP RECEIVE Fax Detect When you us e this feat ure, you d on’t have to press Mono Start or Colour Start , or the Fax Receive Code 51 when you answer a fax ca ll. Select ing On allows the machine to receive fax cal ls automatically , even if you lift the handset of an extension or exter nal phone.
SETUP RECEIVE 4 - 7 Printing a reduced incoming fax (Auto Reduction) If you c hoose On , the machine aut omatically reduces an in coming fax to fit on one page of A4, Letter or Legal size paper. The machine calculate s the reduction rat io by using t he page size of the document and your Paper Size setting ( Menu/Set , 1 , 3 ).
4 - 8 SETUP RECEIVE Printing a fax from the memory If you have select ed Fax Storage ( Menu/Set , 2 , 5 , 1 ), you can still print a fax from the memory when you are at your machine . (See Setting Fax Storage on page 6-2.) 1 Press Menu/Set , 2 , 5 , 3 .
SETUP RECEIVE 4 - 9 Pollin g Polling is the proces s of retrieving faxe s from another fax machine. You can use your machi ne to ‘poll’ ot her machines, or you can have someone poll your machine. Everyone who is involv ed in Polling needs to set up their fax machines for Polli ng.
4 - 10 SETUP RECEIVE Setup for Polling Recei ve with Secure Code You need to make sure you are using the same se cure code as the other part y. 1 If it is not illuminated in green, press ( Fax ). 2 Press Menu/Set , 2 , 1 , 7 . 3 Press ▲ or ▼ to select Secure .
SETUP RECEIVE 4 - 11 Sequenti al Polling The machine can request document s from several f ax machine in a single oper ation. You j ust specify several d estinatio ns in Step 5. Afterwards, a Sequential Polling Report will be print ed. 1 If it is not illuminated in green, press ( Fax ).

QUICK-DIAL NUMBERS AND DIALLING OPTIONS 5 - 2 Changing Speed-Dial numbers If you try to sto re a Speed-Dial number wh ere a number has already been stored, the LCD will sh ow the name that has been store d there (or numbe r) and will ask you t o do one of the foll owing: 1 Press 1 to change the stored number.
5 - 3 QUICK-DIAL NUMBERS AND DIALL ING OPTIONS Setting up Groups for Broadcastin g Groups all ow you to se nd the same fax message to many fax numbers by pressing only a few keys ( Sear ch/Spe ed Dial , # , the two-digit number, and Mono Start ). Fi rst, you’ll need to store each fax number as a Speed-Dial number.
QUICK-DIAL NUMBERS AND DIALLING OPTIONS 5 - 4 6 Use the dial pad an d the chart o n page B-14 to ent er a name for the Grou p. Press Menu/S et . (For example, type NEW CLIENTS). 7 Press Stop/ Exi t . You can pri nt a li st of all t he Speed-Dial numbers.
5 - 5 QUICK-DIAL NUMBERS AND DIALL ING OPTIONS Dialling opti ons Access codes and credit card numbers Sometimes you may want t o choose from several long distance carriers when you make a call.
QUICK-DIAL NUMBERS AND DIALLING OPTIONS 5 - 6 Pause Press Redial/ Pause to insert a 3.5-s econd pause between numbers. If you are d ialling overseas , you can press Redial/P ause as many ti mes as neede d to increase the length of the pause.
5 - 7 QUICK-DIAL NUMBERS AND DIALL ING OPTIONS Telephone (voice) o peration You can use t he machin e to make voice teleph one calls by dialli ng manually or by using Search o r Speed-Dial memory. You can use t he handset or Speaker Phone to make and receiv e calls.

6 - 1 REMOTE FAX OPTIONS (MONOCHROME ONLY) 6 Setting up Fax Forwarding When you select Fax Forward, your machine stores the rec eived fax in the memor y. The mach ine will then dial the fax number you’ve programmed and f orward the fax message. 1 Press Menu/Set , 2 , 5 , 1 .
REMOTE FAX OPTIONS (MONOCHROME ONLY) 6 - 2 Setting Fax Storage If you select Fax Storage, your machine st ores the received fax in the memory. You will be able to retr ieve fax messages from another location usi ng the Remote Retrieval commands. 1 Press Menu/S et , 2 , 5 , 1 .

6 - 5 REMOTE FAX OPTIONS (MONOCHROME ONLY) Setting your Remote Access Code The remote access code lets you acce ss the Remote Retrieval features when you are away f rom your machine . Before you use t he remote access and retr ieval fea tures, you have to set up your own code.
REMOTE FAX OPTIONS (MONOCHROME ONLY) 6 - 6 Remote Retrie val You can call your machi ne from any t ouch tone t elephone or fax machine, then use the Remote Access Code and remote commands to retriev e fax messages. Using your Remote Access Code 1 Dial your fax number from a tel ephone or a nother fax machi ne using touch tone.
6 - 7 REMOTE FAX OPTIONS (MONOCHROME ONLY) Remote co mmands Follow th e commands below to access features whe n you are away from the machine. When you call the machine and ent er your Remote Acces s Code (3 digi ts fol lowed by ), the system wi ll give two short beeps and you must enter a remote command.

The ink dot counter automati cally monitors the level of ink in each of the 4 cartridges. When t he machine detects an ink cartridge i s running out of ink, the machine wil l notify you with a message on t he LCD.
