Inter-Tel 3000 Administrator’s Man ual 14 DIGITAL TELEPHONE SETS There are two digital telephone sets, on e with eigh t and the other with sixteen programmable keys. All of the digital telephone sets are highly feature d display tel ephones. They all have a four-line display that contains prom pts, and menus wit h selectable opt ions.

Inter-Tel 3000 Administrator’s Man ual 17 Using the Digital Te lephone Set Display The digital telephone set display presen ts prompts and information. It also provides selectable options to assist in activating features. Prompts and Information • Prompts tell you what action to take, or warn of an incorrect action.
Inter-Tel 3000 Administrator’s Man ual 18 Using the Display Keys to Select Menu Options The six display keys, located on each side of the display, ar e pressed to select the options shown on the display. This will either activate a feature, cause another menu to be displayed, or select an item from a list.

Inter-Tel 3000 Administrator’s Man ual 23 Background Music This feature allows an e xtension to have m usic played over the speaker of a digital telephone set wh ile the extension is idle. This backg r ound music is supplied only if th ere is an external music source connected to the system.

Inter-Tel 3000 Administrator’s Man ual 25 GETTING STARTED – BASIC CALL FEATURES Making and Answering Calls To Make an Exte rnal Call • Lift the handset and select a free line in one of the following ways: • Press the line key 1 for line 1, line key 2 for line 2, and so on.

Inter-Tel 3000 Administrator’s Man ual 30 HOLDING AND TRANSFERRING CALLS System Hold You can place external calls on hold so that othe r tele phones can retrieve the call or you can return to th e call at a later stage.
Inter-Tel 3000 Administrator’s Man ual 31 To Transfer a Call to an Exte rnal Numb er • While on the call, press the Scro ll Down key ( ) until “External Transfer” is displayed. • Select “External Transfer”. • Select a free line and dial the num ber.
Inter-Tel 3000 Administrator’s Man ual 32 RE-DIRECTING CALLS This allows you to forward a call that is ringi ng at your digital telephone s et. To Re-Direct a Call Ring ing at Your Extension • When a call is ringing at your dig ital telephone se t, select “Re-Direct the c all” on the display.
Inter-Tel 3000 Administrator’s Man ual 33 Follow Me The Follow Me feature allows you to set a call forw ard t o another ext ension a fter you have left your extension. • From the digital telephone set answerin g the calls, press the Scroll Down key ( ) until “Forward” is displayed.
Inter-Tel 3000 Administrator’s Man ual 34 Forward On No Answ er The Forward On No Answer feature allows you to forw ard all your calls to ring at ano t her extension if there is no answer at your ext ension after four rings.

The order in which the ex tensions are entered determines the sequence in which unanswered calls are pr esente d to extensions in the group.
Inter-Tel 3000 Administrator’s Man ual 40 • Select the group you wish to set up. Up to 11 groups can be set up, each with a co rresponding access code, 9 or 760 - 769 • Select the lines to be in the gro up. The lines in the group are indicated by a “ ♦ ”.

Inter-Tel 3000 Administrator’s Man ual 42 AUTO-ATTENDANT The Auto-Attendant feature allows callers to ring direc tly through t o an extension prov i ded that they know the extension number of the person t h ey wish to contact. A Voice Module must be installed for this feature to operate.
Inter-Tel 3000 Administrator’s Man ual 43 Dialing More than O ne Digit If a valid extension number is dialed and th e extension is free, the phone is rung. If the extension is busy the call is camped on to the extensio n. If a forward when busy is programmed it is activated.
Inter-Tel 3000 Administrator’s Man ual 44 Auto-Attendant Programming Auto-Atten dant can be ena bled on a li ne-by-li ne basis from the programm ing extensio n. If a call is received on an Auto-Attendant line wh en the voice m ail system is busy, the call will ring as a normal call.

Inter-Tel 3000 Administrator’s Man ual 48 Simple Directo ry Servic e This is a service where a greeting is reco rded on site listing names and their extension numbers. When the directory message is record ed you can access it by dialling # when liste ning to the Auto Attendant greeting.
Inter-Tel 3000 Administrator’s Man ual 49 “(Recorded name). If this is c orrect press pound. For the prev ious name in the directory press 1, to hear the next directory name press 2, to spell a new name press 3, to exit t he directory press star”.
Inter-Tel 3000 Administrator’s Man ual 50 Note: Although the names are entered using the co de 2 for A, 22 for B etc the matching is done using 2 for A, B and C, 3 for D, E and F etc. Recording names • Press the MESSAGE key. • Select “Voice Messaging”.
Inter-Tel 3000 Administrator’s Man ual 51 VOICE MAIL Voice mail servi ces are available only on those system s equipped with the optional v oice mail m odule. Up to 40 exte nsions can be allocated voice m ailboxes. T he 20 ring groups ca n also be allo cated voice mailboxes.
Inter-Tel 3000 Administrator’s Man ual 52 • Press “Confirm”. • Press the speak erphone key to finis h progra mming. From a standard phone dial 9 to select the greetings. Dialing 1 selects the prim ary greeting and dialing 2 selects the alternate greeting.
Inter-Tel 3000 Administrator’s Man ual 53 • Select “Forward to VM” or enter 710 as the extension num ber. • If “Forward On No Answ er” is activated to 710 , the voice mailbox will answer calls unanswered after four rings .

Inter-Tel 3000 Administrator’s Man ual 55 Return Call The Return Call feature allows yo u to initiate a call to the caller who left a message in your voice mailbox. • When you ha ve listened t o a message in t he voice mai lbox select t he “Return Call” option.
Inter-Tel 3000 Administrator’s Man ual 56 The same rules ap ply to these reco rdings as do to normal messages le ft in voice m ailboxes. Read m essages are deleted in 8 days and unretrieve d messages are del eted in 15 days. • From the Pro gramm ing extens ion, press t he PROGR AM key .

Inter-Tel 3000 Administrator’s Man ual 64 To Pick up a Holding call at another extension • From a digital telephone set select the “Flashing Li ne led”. From a standar d analog phone , dial #5 and t hen the l ine num ber (Line num bers starting fr om 01 to 20 ).
Inter-Tel 3000 Administrator’s Man ual 65 Ring Back If the extension you call is busy, use the Ring Back feature to h a ve the extension call you b ack when it becomes free. If you dial for a CO line and no lines ar e free, use the Ring Back feature to get a CO line as soon as one is available.
Inter-Tel 3000 Administrator’s Man ual 66 Multiple Call Park The Call Park feature allows you to place up to 5 external calls on speci al hold by park ing them in the system. Any extension can then pick up the call. To Park and Retrieve a Call • On a digital telephone set, select “Call Park” on th e display.
Inter-Tel 3000 Administrator’s Man ual 67 • Select “System Programming”. • Enter the System Programming Pass word an d select “Extensions”. • Press the Scroll Down key ( ) until “Barge-In” is displayed. • Select “Barge-In Protection”.

Inter-Tel 3000 Administrator’s Man ual 69 Setting Display Messages This feature enables you to leave a display messag e that will be seen by any digital telephone set calling your extensi on. You ca n also set a display m essage on a st andard analog telephone but you ca nnot chec k the content.
Inter-Tel 3000 Administrator’s Man ual 70 • If your digital telephone set is not ringing for the call, you can examine the incoming call ID by selecting “Exa mine Incom ing Call” . The same info rmation sho wn on the ringing di gital tele phone sets is then displayed.
Inter-Tel 3000 Administrator’s Man ual 71 • Enter the name to be ass ociated with the number. Refer to page 18 for help on how t o enter nam es. • Press Confirm . • Select the option “Day Mode ”, “Ni ght Mode” or “Day and Night Mode”.
Inter-Tel 3000 Administrator’s Man ual 72 To Set up Extensions with an Individual Caller ID List You can program up t o 40 extensions to store ten num bers each. Each of these extensions will have a separate record of calls that ring on CO lines programmed to ring their ex tensions only.
Inter-Tel 3000 Administrator’s Man ual 73 To make an Announcem ent ov er a Public Address System If there is a Public Addr ess (PA) system connected to your In ter-Tel 3000, any extension can make an announcement ove r the PA system. • From the Idle Menu, press the Scroll Down key ( ) until “Paging ” is displayed.

Inter-Tel 3000 Administrator’s Man ual 75 • Enter the System Programming Pass word an d select “Extensions”. • Press the Scroll Down key ( ) until “Manager / Assistant” is displayed. • Select “Manager / Assistant”. • Select the assistant extension.
Inter-Tel 3000 Administrator’s Man ual 76 Note: The assistant extension must be progra mmed to receive Call Waiting tones. See page 82. To Program a Key to Call the Assistant’s Extension Directly With this feature set, the m anager can call the assistant, while the assistant’s extension is idle, by pressing the key.

Inter-Tel 3000 Administrator’s Man ual 82 TONE PROTECTION As described on page 65, exte nsions can p resent a busy ext ension wi th a call wai ting tone , provided t he busy extension is not protected agains t receiving call-waiting tones. By de fault, all extensions are protected against receiving Call Waiting tones, except extensio n 20.
Inter-Tel 3000 Administrator’s Man ual 83 SENDING A HOOKFLASH WHILE ON A CALL A Hookflash signa l can be required if you are using certain network serv ices on standard CO lines, or if your Inter-Tel 3000 is conne cted to another tele phone system (PBX) via one of the line interfaces.
Inter-Tel 3000 Administrator’s Man ual 84 MUSIC-ON-HOLD OPTIONS When an external call is placed on hold, you ca n choo se between supplying music, a tone, or silence to the caller.
Inter-Tel 3000 Administrator’s Man ual 85 • Select “Name Programming”. • From the ext ension me nu, select the ext ension you want to nam e and enter t he name as de scribed on page 18. Up to ten c haracters (including spaces) ca n be entered for each na me.

To Restrict Extension Outgoing Calls During th e Day With this feature, you can assign the extensions to a Class-of -Service that will operate when the system is in “Day Service”.
Inter-Tel 3000 Administrator’s Man ual 87 POWER FAILURE OPTIONS To Provid e Ba ttery Backup Your Inter -Tel 3000 can be equip ped with an o ptional Batte ry Backup U nit (BBU) . When e quipped, f ull operation of the Inter -Tel 3000 is provided for at least one hour in the event of a pow er failure.
Inter-Tel 3000 Administrator’s Man ual 88 USING A DOOR PHONE You can equip you r Inter-Tel 3000 wit h an optional Doo r Phone. The Door Pho ne has a button whic h, when pressed, rings at pro grammed ext ensions, and has a micropho ne/speaker for com municati on.
