Device information The HP Digital Sende r 9250c converts black-an d-white and co lor documents, drawings, a nd photograph s into an electronic fo rm and then distribu tes them directly to seve ral kinds of destinations.
Feature Description For more information DSS Send to Folder Scan a document to a network folder. More than one folder destination can be configured. DSS support guide DSS Workfl ow Scan a document and capture information about the scanned document by pr ompting the user.
Features The digital sende r includes the following features : ● Digital sending —Send scanne d files to e-mail addresses and network folders. Advan ced digital- sending functions are carrie d out by the HP Digi tal Sending Software ( HP DSS), which is included with the device.

Use the control panel The control pane l has a VGA touchscreen that prov ides access to all device functio ns. Use the buttons and numeric keypad to cont rol jobs and the device status.
9 Stop button Stops the active job. While stop ped, the control panel shows the options for the stopped job (for example, if you press Stop while the device is processing an e- mail job, the control panel message prompts you to cancel or resume the job).
Device software Digital-sender software To take advanta ge of advanced di gital-sender features su ch as scan ning with OCR or sending to a workflow, you can in stall the HP Digital Sending Softw are Version 4.0 (HP DSS) that is provided on a CD-ROM wit h the devic e.

Replace supplies and parts Replace the mylar sheet If you start to see vertical streaks on the scanned im ages, you might need to replace th e mylar sheet at the bas e of the ADF. The devi ce ships wi th an envelo pe containing three extra mylar sheets and installation instru ctions.
Replace the ADF Maintenance Kit The device notifies yo u when it is time to repl ace the ADF Main tenance Kit by showing a me ssage on the control-panel d isplay.
Clean the device During the scanning p rocess, paper and dust p articles can accumulate inside the device. Over time, this buildup can cause problems, su ch as specks on scanned documents. Clean the exterior Use a soft, damp, lint-free cloth to wipe dust, smudge s, and stains off of the exterior of the device.
3. Locate the white, vinyl calibration strips. 4. Clean the ADF backing and the calibra tion strips by wiping them with a cl ean, damp, lin t-free cloth.
Clean the ADF rollers You should clean the rolle rs in the ADF if you are ex periencing misfeeds or if your originals show marks as they exit the ADF. CAUTION: Clea ning the rollers too freq uently could introduce dust into the device. 1. Open the scanne r lid.
6. Locate the rolle rs. 7. Wipe the rollers with a clea n, water-dampened, lint-free cloth. CAUTION: Do not pour water directly onto the rollers. Doing so mig ht damage the device. 8. Locate the separation pad. 9. Wipe the pad with a clean, water-dampened, lint-free clo th.

Basic operation All high-level digital sender processes are routed thro ugh the formatter, which processes images and communicates with other devices. The basic digital sender operation can be divided.
Formatter system The form atter is responsi ble for the following procedu res: ● Controlling Sleep mode ● Receiving and pr ocessing scan data ● Monitoring contro l-panel functions and relaying d.
Memory The formatter system contai ns the digital sender memory, which is divided into se veral componen ts. This section describes each memory component. NOTE: If the digital sende r encounters a p roblem when managing available memory, a clearable warn ing message appears on the control pa nel.
Flatbed unit and ADF system Electrical system The scanner-assembly electrical system co nsists of the following components: ● The charged-coupled device (C CD) PCA (optical assembly) ● The inverte.
Motors and fans The scanner assemb ly has three motors and thre e fans. The motors are ste pping motors, which dr ive the components inside the scanner assembly.
Motor rotates in the normal direction Unit moves forward Motor rotates in the reverse direction Unit moves backward carriage glass MOTOR DRIVE signals Optical unit motor Optical unit home position det.
ADF feed system The ADF has bu ilt-in duplexing capabi lity for scanni ng two-sided documen ts. Pages from the original document enter the ADF from the ADF i nput tray. A se paration roller and separation pad work together to separate the to p sheet from the stack.
Jam detection When the sensors inside the ADF detect a jam, the feed and read motors immediately stop . A signal is sent to t he scanne r contro ller board, whic h notifie s the form atter. An er ror messag e appears o n the control-panel display. To clear a jam, open th e jam-access cover and remove the media.

Removal and replacement strategy This chapter describes how to remove, re place, and reasse mble the major assemblies of the digital sender. Replace ment is generally the re verse of removal. WARNING ! Unplug the power co rd from the powe r outlet (at the wall receptacle) before attempting to servi ce the digital sender.
After completing service ● Reconnect all ca bles to the product. ● Replace al l of the accesso ries. ● Verify that the most recent firmware is installed.

ADF mylar shield 1. Remove the myl ar-holder assembly. See Mylar-holder assembly on pag e 44 . 2. Carefully unhook th e mylar shield from the four tabs o n the mylar-holder assembly, and then remove and discard the mylar shie ld. Figure 5-13 Replacing the ADF mylar shield (4 of 7) 3.

Formatter assemblies Formatter cage Unscrew the thumb screws at the back of th e device and use them to pull the formatter cage out of the unit. Figure 5 -18 Removing the formatter cage ENWW User-repl.

Hinge flaps Slide a small flat blade screwdriver between the hinge flaps (callout 1) and th eir housing and then gently pry the flaps away from the device.

Keyboard 1. Pull out the keyboard tray. 2. Use a small flat blade screwdriver to slide four tabs (ca llout 1) tow ard the ke ys. 1 Figure 5-27 Removing the keyboard (1 of 3) 3. Use the scre wdriver to lift the keyboa rd slightly, an d then slowly rotate the keyboard away from the tray.

Remove five screws (callout 1) in the back of the control panel, and pu ll two plastic tabs (callout 2) toward you to release the control-panel upper cover.

Output bin base cover or output bin extender 1. Remove the myl ar replacement kit (envelope). 2. Gently peel back the white sca n background far enough to uncover four screws (callout 1). NOTE: The foam backing should not tear if t he white scan ba ckground is peele d back gently.
Output bin paper lever 1. Remove the output bin ba se cover or the output bin ex tender. See Output bin base cover or output bin extender on page 64 . 2.

Separation pad case 1. Remove the following items: ● Paper input tray. Se e Paper input tray on page 54 . ● ADF left cover. See ADF left cover o n page 69 . 2. Remove one screw (callout 1). 1 Figure 5-72 Removi ng the separation p ad case 3. Slide the separatio n pad case to the right and lift up its left side in order to remove it.
Clear plastic paper guide 1. Open the ADF top co ver. 1 2 Figure 5-73 Removing the clear plastic pa per guide (1 of 2) 2. Peal back the clear plasti c paper guide to remove it.
White scan background 1. Open the ADF cover. 2. Remove the myl ar replacement kit (envelope). 3. Gently peel off th e white scan background. NOTE: The foam backing should not tear if t he white scan ba ckground is peele d back gently.
Scanner controller board 1. Remove the scanner right cover. See Scanner right cover on page 73 . 2. Flatbed scanner assembly 1. Remove the following items: ● ADF assembly. See ADF assembly on page 81 . ● Scanner right c over. See Scanner right cover on page 73 . ● Scanner left cover. See Scanner left cover on page 74 . ● Scanner front cover.

Power supply 1. Remove the flatbed sca nner assembly. See Flatbe d scanner assembly on page 96 . 2. Remove five scre ws (callout 6) and remove the right keyboard tray guide.

Keyboard cable 1. Remove the following items: ● Keyboard. See Keyboard on page 56 . ● Flatbed scanner assemb ly. See Flatbed scanner assembly on p age 96 . 2. Remove three scr ews (callout 1) from the upper ribbon guide. The ribbon cable will slide ou t when the screws are removed.

6 Troubleshooting In order to use th e information in this chapter, you should have a basic understanding of the scanning and digital-sending processes. Explanations of each mechanical assembly , the device systems, and the basic theory of operation a re contained in chapt er 4 of this manual .
Troubleshooting process When the dig ital sender malfunct ions or encoun ters an unexpected situation, in formation on the control panel alerts you to the sit uation. This section cont ains an initial tr oubleshooting checklist th at helps to eliminate many possib le causes of the problem.
Power-on checks The basic digi tal-sender functions should start up as soon as the digit al sender is plugged in to an electrical outl et in a wall receptacle an d the power switch is pushed to the on position. If the dig ital sender does not start, use the information in this section to isola te and solve the problem.
Control-panel messages Control-panel message types Four types of control-panel messa ges can indicate the status of or problems with the device. Message type Description Status messages Status messages reflect the current state of the devic e. They inform you of normal device operation and require no interaction to clear them.
Control panel message Description Recommended action 30.1.6 Scanner Failure This is a scanner-fan error. This fan is located in the base of the scanner a ssembly. It operates whenever the scanner lamp is illuminated or whenever the scanner flatbed motor is rotating.

Control panel message Description Recommended action The ADF paper-present sensor might be defective. Make sure that the sensor flag can move freely. You can use the scanner tests ( Troubleshooting > Scanner Tests ) to test this sensor. Manually move the flag and observe whether the status changes on the control-panel display.
Operational issues Use the troubleshooting in structions in the followi ng table to deal with some basic digita l sender operation al issues. Problem Action to take The digital sender is not wo rking. ● Make sure that the power cord is securely connected to the device and that it is plugged into the electrical outlet.
Problem Action to take Placement of the scanned image appears to be wrong. ● Make sure that the document that you are trying to send is placed correctly in the ADF or on the glass. ● The scanner might need to be recalibrated. See Calibrate the scanner on p age 129 for instructions.
Problem Action to take The "Find Servers" pro cess in the HP MFP DSS Configuration Utility was not able to find an SMTP server. ● Verify that an active SMTP server is on the networ k. ● Click Add… on the E-Mail tab, and then type in the host name or IP address of the SMTP se rver.
Problem Action to take NOTE: When you select a new language, the keyboard layout might also cha nge. Characters on the control-panel display are misaligned.

Clear jams If a jam message ap pears on the control-pa nel display, follow th ese instructions to cl ear jams in the digital-send er ADF. 1. Press the rele ase button to op en the ADF cover. 2. Remove any jammed media from this a rea. Make sure that you have remo ved all of the piece s of torn media.
Solve repeated jams Try the fol lowing methods to solve repea ted jams in the digital sender: ● Adjust the guid es so that they are snug against the st ack but do not bend th e stack. ● The maximum numb er of pages the ADF can hold is 50 or fewer, dep ending on the type of media that is being loaded.
Calibrate the scanner NOTE: Calibrate th e scanner when the ADF is remo ved or replaced. Calibrate the sc anner to compensate for offsets in the scanner imaging system (carriage head ) for ADF and flatbed scans. Be cause of mechanical tol erances , the scanner's carria ge head might not rea d the position of the image accurately.
e. Print the second pass (second copy of the file). Th e final calibration target must look li ke the following figure. Calibrating the control panel Use the following proced ure to calibrate th e control panel 1. Hold down the number (#) key and the C ke y while turning on the power. # C 1 2. Use non-scratching stylus to precisely touch the upper-left calibration point.
3. Use non-scratching stylus to precisely touch the lower-left calibratio n point. 3 4. The calibrati on is complete, and a normal boot with the memo ry count should resume in a few seconds.
Resolve e-mail problems During the configuration of the HP DSS p rogram, yo u must loc ate the SMTP server a nd LDAP server on your network and test them to make sure that they are functio nal. On most standard networks, using the Find Servers and Test buttons in the HP MFP DSS Configuration Utility wi ll successfully find and test the servers.
NOTE: If you are troublesh ooting LDAP settings on the Addressing tab or in the Configure MFP Addressing settings, the options that ap pear are slightly different. If you use the Simple or Window s Negotiated bind method, you mu st specify a user name and password.
Resolve network-connectivity problems Embedded LAN troubleshooting Although networ king is integrated, th e embedded LAN has add itional features to a ssist in troubleshooting.
If a loopback test fails, digital sender or embed ded LAN updates might b e required, or the formatter might need to be replaced. NOTE: If the digital sende r fails before you open the Diagnos tics menu item, remove the LAN cable, perform a cold reset o n the digital sender, and then perform the lo opback test.
The View Ping Results menu indicates whether a pi ng test is in progress. If a ping test is in progre ss, then the user can select a men u item to refresh th e ping results. The results are not dynamical ly updated in most cases. To enable or disable the L AN 1.
13. Turn on the digital sende r. 14. Restore the network configu ration (if necessary). If the test succeeds, the problem has not been diag nosed. If the test fails, the problem might be a network-firmware issue. Perform a standard Jetdirect-firmware-troub leshooting procedure, and disable all of the unused network prot ocols and services.
Verifying communication over the network If the HP Jetdirect configuration page shows an IP address for the digital sender, use this proce dure to verify that the digital sender is co mmuni cating wi th other device s on the network. To verify communication over th e network 1.
Service-mode functions The following rout ines are available for resettin g the digital sender. Cold reset A cold reset resets the values of permanent storage varia bles to factory default. Often this is necessary for clearing the HP MFP Digi tal Sending Server IP address.
● Event-log data ● Service ID NOTE: Make a note of the di gital sender configuration info rmation before performi ng an NVRAM initialization. Some config uration information will be lost. To perform a partial NVRAM initiali zation 1. Turn off the digi tal sender.

Troubleshooting tools Embedded Web server The digita l sender is equip ped with an embed de d Web server (EWS), which provides acce ss to information abou t digital sending a nd network activities.
Information pages The pages on th e Information tab of the embedded Web se rver provide sta tus information for the digital sender. ● Device Status pa ge - This pag e shows the status messag e that currently appears on the device control panel.
● Device In formation page - Use this page to cha nge the device name, asset number, and company contact information. ● Language page - Use this page to specify the language that the EWS We b pages use. ● Date and Ti me page - Use this page to set the correct date and time for the device.
Diagnostic tools Diagnostic tests can be run from the contro l pan el to validate the hardware operatio n. Scanner tests The following di agnostic tests are available for the scanner. They can be fo und in the Troubleshooting menu on the control p anel.
Display test Follow these instru ctions to test the fu nctionality of the contr ol-panel display. 1. Touch Administration , touch Trouble shooting , and then touch Cont rol Panel . 2. Touch Display . The di splay test shows te st patte rns on the cont rol-panel display.
Upgrade the firmware The HP 9250C Digital Sende r features remote firmware up date (RFU) capability. Use the following steps for remotely upgrading di gital-sender firmware. Thes e steps are explained in more detail in the following sections. 1. Determine the cu rrent level of firmware installed on the device.
NOTE: The firmware update involve s a change in the format of nonvolatile random-acce ss memory (NVRAM). Any menu setting s that are chang ed from the default settings might return to default settings an d must be changed again if yo u want setting s that are different from the defaults.
Use HP Web Jetadmin to upgrade the firmware This procedure require s that you have HP Web Jet admin Versio n 7.0 or later installed. Complete the following steps to upd ate a single device through HP Web Jetadmin after do wnloading the .RFU file from the HP Web site.
10. In the Device To ols drop-down list, select Jetdirect Fir mware Update again. 11. On the Jetdirect firmware page, the new firmware ve rsion appears un der Jetdirec t Firmware Available on HP Web J etadmin . Click the Update Firmware Now button to update the Je tdirect firmware.
