Set up faxing (parallel phone systems) Before you begin setting up the HP Fax for faxing, determ ine which kind of phone system your country/reg ion uses. The instructions for fax se tup differ depending on whether you have a serial- or parallel-type phone system.

3F a x You can use the HP Fax to send and receiv e faxes, including color faxes. You can schedule faxes to be sent at a later time and set u p speed-dials to send faxes quickly and easily to frequent ly used numbers.
you can send the fax directly to t he fax machine when you hear the f ax tones from the receiving fax machine. To initiate a fax manual ly from an external phone 1. Load your origina ls. For additional i nformation, see Load o riginals . 2. Dial the number by using t he keypad on the phone that is conn ected to the HP Fax.
Send a fax using mo nitor dialing Monitor dialin g allows you to dial a number fro m the control panel as you would di al a regular telepho ne. When you send a fax using monitor dialing, you can hear the dial tones, telephone prom pts, or other sounds through the speakers on the HP Fax.
5. Press until Scan & Fax appears, and t hen press OK . 6. Press START FAX Black . The HP Fax scans the origin als into memo ry and sends the fax when the receiving fax machine is av ailable. Schedule a fax t o send later You can schedule a blac k-and-white fax to be sent within the next 24 ho urs.
To send a fax to multiple recipien ts without using group speed dia l 1. Press Fax Menu , select How to Fax , and then select Broadc ast Fax . 2. Enter a fax number by usin g the keypad, or use the arrow ke ys to access speed dials.
3. Enter the fax numbe r by using the keypad , press Speed Dial or a one-touch speed dial button to select a speed dial, or press Red ial/Pause to redial the last number dialed. 4. Press START FAX Color . If the HP Fax detect s an original loaded in the auto matic document feeder, it sen ds the document to t he number you entered.
To change the resolution fro m the control pa nel 1. Load your originals prin t side down into the documen t feeder tray. 2. In the Fax area, press F ax Menu .
Send a fax in Error Co rrection Mode Error Correction Mo de (ECM) prevents loss of dat a due to poor phone lines by d etecting errors that occur durin g transmission and automatically requ esting retransmission of th e erroneous portion. Phone charges are unaffected, or might even be reduced, on good phone lines.
NOTE: You can pick up the handset to talk or listen for fax tones. You can receive faxes m anually from a phone that is: • Directly connect ed to the HP Fax (on the 2-EXT port) • On the same phone line, bu t not directly connected to the HP Fax To receive a fax m anually 1.
To set backup fax recepti on from the control panel 1. Press Setup . 2. Select Advanced Fax Se tup , and then select Backu p Fax Reception . 3. Press to select On , On Error On ly , or Off .
To set up poll to receiv e a fax from the control panel 1. In the Fax area, press F ax Menu repeatedly until How to Fax ap pears. 2. Press until Poll to Receive appe ars, and then press OK . 3. Enter the fax number of the o ther fax machine. 4. Press START FAX Black or STAR T FAX Color .
NOTE: If an incorrect pap er size is loaded in the input tray when you receive a fax, the fax does not print and an erro r message appears on the display. Lo ad letter, A4, or legal paper, an d then press OK to print the fax. To set the paper size for received faxes from the control panel 1.
Add number s to the junk fax list There are two ways to add a number t o your junk list. You can select numbers from you r caller ID history, or you can ente r new numbers. The numbers in your junk list are blocked if Block Junk Fa x mode is set to On .
Change fax settings After complet ing the steps in the setup poster that came with the HP Fax, u se the following steps to change the i nitial settings or to configure other options for faxing.
Change the answ er ring pattern for distinctive ring Many phone companies of fer a distinctive ring feature th at allows you to have several phone numbers on o ne phone line. When you subscribe to t his service, each number is assigned a diffe rent ring pattern.

Fax over the Internet You may subscribe to a low cost phone service that allows you to send a nd receive faxes with your HP Fax by using the Interne t.

Set the number of copies You can set the number of copies that you want to print by using t he Number of Copies option. To set the number of copies from the con trol panel 1. Make sure you ha ve paper loaded in the in put tray. 2. Load your original pri nt side down in the document feede r tray.

Copy a legal-size document onto letter paper You can use the Legal > Ltr 72% setting to reduce a copy of a legal-size documen t to a size that fits onto l etter pape r. NOTE: The percentage in th e example, Legal > Ltr 72% , might not match the percentage that ap pears in the display.
To copy a blurred docu ment from the control panel 1. Make sure you have pa per loaded in the input tray . 2. Load your original prin t side down in the documen t feeder tray. 3. In the Copy area, press Copy M enu repeatedly until Enhancements appears.
5 Configure and manage This section is intende d for the administrator or individu al who is responsible for m anaging the HP Fax. Use the control panel to manage and monito r the HP Fax.
The default fax co nfirmation setting is Off . This mea ns that a confirmation report is not printed for each fax sent or received. A confirmatio n message indicating whet her a fax was successfully sent appears briefly on th e control-panel display aft er each transaction.

The "Phone Cord Conn ected to Correct Port on Fax" test failed Solution: Plug the phone cord into the correct port. 1. Using the phone cord supplied in the box wit h the HP Fax, connect one e nd to your telephone wal l jack, then connect the other end to the port labeled 1-LINE on the back of the HP Fax.
The "Using Correct Type of Phone Cord with Fax" test failed Solution: • Make sure you used the phone cord supplied in the box with the HP Fax t o connect to the teleph one wall jack. One en d of the phone cord should be conn ected to the port labeled 1-LINE on the back of the HP Fax, and the other end to you r telephone wall jack.
• Check to make sure the country/region setting i s set appropriately for your country/region. If the country/region sett ing is not set or is se t incorrectly, the test might fail an d you might have problems sending and receiving faxes.

Handle the print cartridges Before you replace or clean a print cartridge, you should know th e part names and how to handle the print cartridges. 1 Copper-colored contacts 2 Plastic tape with pink pull tab (m ust be removed before installin g) 3 Ink nozzles under tape Hold the print cartri dges by their black plastic sides, with the l abel on top.
To replace the pri nt cartridges 1. Make sure the HP Fax is plugged in . CAUTION: If the HP Fax is off when you open the print cartridge door to access the print cartridge s, it will not release the ca rtridges for changing. You m ight damage the HP Fax if th e print cartridges are not docked sa fely when you try to remove them.
6. Remove the new print cartridge from its pa ckaging and, being caref ul to touch only the black plastic, gently remove the plastic tape by using t he pink pull tab.
Align the prin t cartridges The HP Fax prompts yo u to align cartridges every time you install o r replace a print cartridge. You can also align the print cartridges at any time from the control pan el. Aligning the prin t cartridges ensures high-qual ity output.
Clean the print cartridge conta cts Clean the print cart ridge contacts only if you get repeat ed messages on the disp lay prompting you to ch eck a print cartridge after you already have cl eaned or aligned the print cartridges.
7. Clean only the copper-colo red contacts. Allow the print cartridges to dry for approximately te n minutes. 1 Copper-colored contacts 2 Ink nozzles (do not clean) 8. Slide the print cartri dge back into the slot. Pu sh the print cartridge forward until it clicks into place.
To clean the a rea around th e ink nozzles 1. Plug in the HP Fax and o pen the print cartridge door. The print carriage moves to t he far right side of the HP Fa x. 2. Wait until th e print carriage is idle and silent, an d then unplug the power cord f rom the back of the HP Fax.
Clean the HP Fax To ensure that your copi es and scans remain clear, you might need t o clean the glass strip or white strip inside th e automatic document feeder. You might also want to dust th e exterior of the HP Fax. Clean the gl ass strip Minor debris can accu mulate on the white strip locate d inside the automatic document feeder.
4. Close the automat ic document feeder cover. CAUTION: Make sure you close the autom atic document feeder cover bef ore loading any pap er or originals.
4. If further clea ning is needed, repeat the previous steps using isopropyl (rubbing) alcohol, and w ipe the strip thoroughly with a damp cloth to remove any resi dual alcohol. CAUTION: Be careful not to spill alcohol on the gl ass or exterior of the HP Fax, as this might damage t he HP Fax.

Problem Possible solution If you have an answerin g machine on the same phone line with the HP Fax, you might have one of the following problems: • Your answering machine migh t not be set up properly with the HP Fax.
Proble m Possible solution The HP Fax cannot send faxes, but can receive faxes The HP Fax might be dialing too fast or too soon. You might need to insert some pauses in the number sequence. For example, if you n eed to access an outside line before dialing the phone number, inser t a pause following the access number.
Problem Possible solution TIP: If the HP Fax came with a 2-wire phone cord adaptor, you can use it with a 4-w ire phone cord to extend the length. For information on using the 2-wire phone cord adaptor, see the documentation that came with it. To extend your ph one cord 1.
Clear paper jams If the paper was loade d in the input tray, you might need to clear the pape r jam from the rear door. Paper can also jam in the auto matic document feeder. Several com mon actions can cause paper to jam th e automatic document feeder: • Placing too much p aper in the docume nt feeder tray.
To clear a paper jam in the automatic documen t feeder 1. Unplug the p ower cord. 2. Lift the cover of the au tomatic document feeder. 3. Gently pull the paper out of the rollers. CAUTION: If the paper tears when you are removing it from t he rollers, check the rollers and wheels for torn pieces of paper that might be remaining inside the HP Fax.
